JOB SUMMARY: The Parts & Warehouse Supervisor is responsible for the oversight and supervision of the parts counter and central warehouse which requires creating effective processes to support the needs of the branch while working collectively with other departments to address changes as required. Duties include supporting the efficient flow of parts inventory, sales inventory, maintenance, repair items, and misc. supplies, as needed, in support of all divisions. Additional responsibilities require processing customer orders, receiving and unloading purchased goods and parts inventory, stocking or delivering items as needed, and processing returns to various vendors. This role will also direct, educate and oversee the growth and development of employees both on the parts counter and warehouse to support and execute business initiatives and strategy.

ESSENTIAL FUNCTIONS:

Safety

  • Actively cares, promotes, manages, and advocates safety at Western States. As a team member in the organization, it is critical to ensure all employees, vendors, and clients have a safe work environment while adhering to all applicable safety policies, procedures and standards.
  • Maintains clean/clutter free work areas to ensure safe environment for all WSECO employees.
  • Adhering to required personal protective equipment (PPE) as identified in safety policy.


Employee Supervision and Growth:

  • Supervises employees. Performs annual performance review and determines compensation increases. Administers discipline; influences decision to hire and terminate employees. Assists in employee issues that affect customer service./
  • Communicates Parts goals effectively, provides resources and direction, and ensures goals are met.
  • Develops and oversees training programs for employees as identified, including but not limited to: forklift operation, receipting inventory, shipping inventory, hose building, bin counts, daily inventory, return procedures on vendor and Cat returns.
  • Schedules Parts personnel to properly cover shifts, training, and meetings. Maintains on call and Saturday work rotation schedules. Approves and schedules overtime as needed.


Parts Counter Oversite:

  • Responds to customer inquiries, resolves customer complaints and maintains a high level of customer relations.
  • Answers customers' and technicians' parts inquiries over the phone and in person. Uses Caterpillar's online Parts system (SIS) or parts books for Caterpillar Legacy Equipment to reference and identify parts.
  • Determines customer needs through research and questions. Offers all parts and service solutions to customer. Determines best method to fill orders with parts not in stock. Asks customer for need by date and decides best shipping method.
  • Processes, tracks, invoices, and completes customers' orders to exceed customers' expectations. Receives cash or credit payments or processes the order to go through Accounts Receivable. Balances cash drawer daily.
  • Works with other departments to ensure strong teamwork throughout the branches.
  • Manages all merchandising at the local level to ensure marketing and promotional materials are effectively used.
  • Works with the branch Product Support Sales Representatives (PSSRs) to develop customer solutions.
  • Maintains Western's professional position in market. Works closely with Western States' customers by regularly making sales calls to ensure profitable growth
  • Researches support parts for new products and ensures parts are on hand prior to the product delivery.
  • Works on Parts Counter to process internal and external customer orders and returns.
  • Collaborates with Parts Operations/Inventory Control to identify parts inventory needs and adequate stocking levels.
  • Oversees accounts vendor invoices and process for timely payment.
  • Maintains a high level of focus on departmental goals (sales, customer loyalty, employee engagement, parts KPI's, etc.) and address areas of opportunities to meet or exceed established goals.


Warehouse Supervision:

  • Oversees the receipting of all goods purchased for the branch in the appropriate business systems.
  • Ensures parts inventories, maintenance and repair items, and sales items are delivered to their appropriate locations within the timelines that are defined for each area.
  • Defines and manages to processes that comply with our Contamination Control Standards
  • Processes customer orders and quotes for customers. Pulls customer's parts orders. Prioritizes customer orders to be delivered in a timely manner. Addresses customer inquiries and issues regarding orders. Follows up with customers in a professional manner.
  • Oversees and guides outbound and inbound flow of product.
  • Manages the process of daily bin counts. Receives and reviews bin count report.
  • Unloads stock truck, stocks inventory, verifies and receipts in quantity. Receives stock orders for other locations and sends to store.
  • Receives transferred parts from stores, verifies quantities, receipts inventory, and stocks shelves. Receives report of parts that need transferred to stores. Pulls parts and prepares for shipping before pickup time.
  • Receives inventory with discrepancy, processes shipping exception, adjusts inventory according to problem. Contacts Inventory Analyst with discrepancy. Notifies store of discrepancy and receives notification from stores of discrepancy; takes action accordingly.
  • Checks inventory for damage. Notes damage on bill of lading and files shipping claim. Receipts damaged parts, relieves inventory of damaged product, notifies inventory to file damage claim and to replenish inventory. Handles Allied returns accordingly.
  • Processes returns from customers and Service Department. Inspects returned product for damage and accuracy, inventories part. Addresses parts issues when they arise.
  • Processes returned cores. Certifies part numbers with part number on box, with all appropriate pieces and verifies it is a Caterpillar Reman part. Writes up return slip for customer then delivers part and paperwork to Core Processor.
  • Coordinates return documentation with inspected product, organizes product to meet shipping requirements and details.
  • Inspects warehouse for cleanliness and safety. Performs or designates employees to perform end of day closing tasks, ie. locking up, shutting lights off.
  • Promotes and manages all customer care standards.
  • May accomplish training and serve as a team member in support of Western States' strategic programs, projects, and initiatives.
  • Works within and promotes corporate vision, mission, and values of the organization.
  • Performs other duties as assigned.


SKILLS, KNOWLEDGE, AND ABILITIES:

  • Strong knowledge of dealer business systems in parts and warehouse procedures including outbound shipping procedures and hose production.
  • Working knowledge of forklift operation with ability to obtain forklift operators certification.
  • Technical knowledge of parts, service, and core inspection.
  • Moderate knowledge of Microsoft office software, and parts procedures.
  • Ability to develop and maintain effective working relationships with others.
  • Ability to work overtime and on call, as needed.
  • Consistent attendance.


EDUCATION AND EXPERIENCE:

  • Proof of high school diploma or General Education Degree (GED).
  • Minimum of three years of comparable parts or warehouse experience required.
  • One year experience as a lead or supervisor preferred.
  • Proof of driver's license and acceptable driving record with ability to obtain a Med Card.
  • Must be able to communicate (speak, read, comprehend, write in English).


PHYSICAL CHARACTERISTICS:

  • Must be able to stand for long periods of time along with walking, sitting, climbing stairs, reaching pushing, pulling, leaning and twisting.
  • Some exposure to extreme temperatures, fumes, high noise levels, and dirt.
  • Able to lift up to 60 lbs in accordance with Western States' Lifting Safe Work Practice to include amount and approach.
  • Must be able to meet all safety requirements for applicable safety policies.
