Description:
The Front Receptionist is responsible for answering the main telephone switchboard, greeting vendors, and other outside guests.
RESPONSIBILITIES
Call Reception
- Answers all incoming 6800 line calls to the main telephone switchboard.
- Answers all hot card calls and routes appropriately.
- Directs and transfers callers to the appropriate person and/or takes messages as needed.
- Provides information to external and internal persons and directs to appropriate person for their needs.
Greeting & Assisting Patrons
- Greets vendors; assigns a Vendor badge when they sign in. Vendors can get to any floor of DCI with their badge. Also sends an email notification when vendors are in the Corporate building.
- Greets guests/visitors, have them sign in, assigns a Visitor badge, and contacts the person they are visiting. They must be escorted to the area of DCI.
- Maintains and provides Application for Employment forms to applicants.
Clerical
- Assists employees in preparing, shipping and tracking UPS packages as needed.
- Responsible for sending memorials for DCI employees or other people as requested by DCI Management.
- Updates anniversary boards in the Corporate & Operations building on a quarterly basis.
- Sends out electronic bulletin board items.
- Laminates luggage tags, insurance cards and full page documents as needed.
- Provides clerical support to the Human Resource department as needed.
- Schedules the DCI vehicles in the correct calendar and sends confirmation to the person requesting the vehicle
Other
- Ensures that personal work area, desk, and front reception area are maintained in a neat and organized manner.
- Performs other related duties as assigned.
EDUCATION REQUIREMENTS
- High School Diploma.
- At least one year work experience in an office environment in a receptionist capacity or equivalent post-secondary courses in secretarial courses.
POSITION REQUIREMENTS / SKILLS
- Intermediate knowledge and understanding of secretarial principles.
- Understanding and knowledge in use of typical office equipment including multiple line telephone systems, fax machines, copy machines, UPS shipping system, and etc.
- Basic knowledge of computer use including word-processing and spreadsheet applications.
- Proficiency in composing business letters, mailings, creating and maintaining spreadsheets.
- Proficiency in proofreading executive communications for English and grammatical correctness.
- Effective and pleasant telephone communication skills and style.
- Effective typing skills at a minimum of 30 wpm.
- Intermediate PC operation skills, Microsoft Excel and Word, and Office applications preferred.
- Excellent interpersonal relating skills.
- Effective and appropriate verbal, face-to-face and written communication skills.
- Strong planning, coordination, time management, and organization skills.
