Job Summary
Thisposition is an assistant to Physical Plant leadership. The incumbent will helpwith accurate and timely work order completion, campus storage operations, andrunning errands for departments. This person will help where needed and may berequired for storm duty.
Primary Duties and Responsibilities
- Enters work orders into Web TMA, our computerized maintenance management system (CMMS) for staff.
- Aid staff in recording and closing of regular and preventive maintenance work orders as required.
- Runs errands to collect materials for projects for all departments within the Physical Plant.
- Oversees the allocation of space and maintains an accurate inventory log for university storage operations.
- Other duties as assigned.
- Knowledge ofoffice procedures and of spelling, grammar, punctuation, and arithmetic.
- Knowledge ofinventory control principles and methods.
- Knowledge ofadministrative and clerical procedures and systems such as word processing,managing files and records, designing forms, and other office procedures andterminology.
- Knowledgeof, or ability to learn, University policies and procedures.
- Skill incompleting assignments accurately and with attention to detail.
- Skill in theoperation of office equipment including, but not limited to, multilinetelephone, typewriter, calculator, multi-function printer/copy/scan/fax machineand computer.
- Skill ingiving full attention to what other people are saying, taking time tounderstand the points being made, asking questions as appropriate, and notinterrupting at inappropriate times.
- Ability toaccurately prepare and maintain records, files, and reports.
- Ability towork successfully as a member of a team and independently with moderatesupervision.
- Ability tounderstand and follow instructions.
- Ability todiffuse and respond effectively to difficult people and stressful situationswith professional composure in a caring and compassionate manner whileresearching errors and resolving customer's conflicts or concerns.
- Ability toestablish and maintain a good rapport with university faculty and staff,students, and the general public.
- Ability tocommunicate effectively in both oral and written form.
- Ability toreact quickly and calmly in emergency situations.
Five (5)years of related general facilities experience preferred.
