Outgoing Mail Coordinator

This position is for a client site in Washington, DC.

Key Job Functions

  • Processing Outgoing Mail for international diplomatic pouches
  • Data processing in Courier System to track processed items
  • Air-billing and monitoring
  • Signage and document intake and printing
  • Postage machine management and usage tracking
  • Creating shipment labels (MS Word, MS Excel)
  • Control of all outgoing deliveries to PAHO country offices
  • Customer support for country office deliveries of packages and correspondence, including appropriate documentation
  • Asset management (boxes, mail supplies)
  • Mail locker room management (for PAHO staff)
  • As needed, support for logistics, transportation, and large meetings.

Education and Qualifications

  • Shall have at least three (3) years of recent (within the past five years) direct experience in complex commercial and institutional facilities demonstrating safe driving record and satisfactory performance of Outgoing Mail processing services
  • At least a High School diploma, CFC certification
  • Must be US citizen or permanent resident Alien
  • Must pass background check and be able to pass security clearance if necessary
  • Strong verbal communications skills
  • Good organizational skills
  • Ability to work independently and prioritize work
  • Commitment to providing superior customer satisfaction
  • Bilingual in Spanish (written/spoken) preferred
  • Must demonstrate understanding of the “service-first” / Systems Thinking methodology and how it applies to the duties of the position
  • Must demonstrate the ability to work independently with minimal supervision, new construction, maintenance, repair and modifications
  • Must demonstrate the ability to read recipient information, process delivery information, understand and act upon verbal instruction
  • Must demonstrate ability to function independently as well as a productive member of a team
  • Must be accessible and approachable to client personnel and building staff at all times while onsite
  • Must demonstrate pride in workmanship / desire to perform at high level on behalf of the client
  • Must demonstrate ability to interpret, understand, and carry out instructions
  • Must demonstrate ability to accept constructive assistance from management to improve performance if/when needed
  • Must demonstrate professional commitment to the position through work ethic, understanding of client mission, loyalty to achieving stated goals
  • Must demonstrate understanding of the client’s operations, mission and goals, and how the Outgoing Mail Coordinator position fulfills them
  • Must acknowledge workplace challenges / risks and demonstrate ability to work with team members to resolve them
