JOB DESCRIPTION | OSJ DESIGNEE POSITION

Gateway Financial Advisors, Inc. is seeking an OSJ Designee. The OSJ Designee is charged with maintaining ongoing relationships with their designated financial professionals to educate, guide, and assist them with their compliance responsibilities. The OSJ Designee is responsible for a wide variety of supervisory, compliance and risk functions for our entire network of advisors. Reporting directly to and in conjunction with the acting OSJ for the firm, the OSJ Designee has accountability for maintaining a consistent, controlled environment through adherence of business ethics and practices and adherence to all Federal, State and Local laws, Cambridge Investment Research, LLC and Cambridge Investment Research Advisors, Inc. (CIRA) policies, other regulations and help support the Gateway Associates in sales, product placement and adherence to compliance and internal policy.

Essential Duties and Responsibilities:

Specific areas of responsibility include, but are not limited to:

  • Review of securities transactions on the electronic trade blotter including but not limited to equities, fixed income, mutual funds, UITs, municipal securities, alternative investments, annuities and 529 transactions.
  • Is responsible for the review and approval of daily trades (Trade Review) generated by the field with an expected 24-hour turnaround timeframe from the time items were received in good order.
  • Review of account-level suitability alerts for brokerage and advisory accounts using BDs electronic supervisory tool suite.
  • Review and approval of account documentation and correspondence.
  • Review and approval of FPs outside business activities.
  • Analysis of transaction activity and identification of potential sales practice concerns.
  • Ensures financial professionals understanding and compliance with all firm and industry requirements by proactively communicating the firm’s policies and procedures.
  • Engages in annual supervisory office visits (SOV’s) with assigned financial professionals to promote company supervisory practices, follow up on audit findings and proactively addressing potential compliance issues to minimize risk to the client, the OSJ and the BD
  • Identifies suspicious patterns in sales and business practice.
  • Conducts investigations and takes appropriate corrective action as needed in collaboration with the BD and other internal business units.
  • Actively monitor the supervisory systems for their assigned advisors and assist in the resolution of heightened transaction review issues and various other situations where the first line supervisor must be involved and make the final decision.
  • Acts as a conduit of information between the Home Office and the field to assist with problem solving.
  • Responsibility for all risk, supervisory, and compliance functions for advisors associated with Gateway Advisors and all its affiliates.
  • Ensures advisors are aware of all supervisory and risk management issues through regular communications both written and verbal.
  • Will communicate with firm’s OSJ and other leadership to ensure they are fully debriefed on any issues requiring escalation.
  • Works with branches to conduct training on systems, procedures, and or processes as needed.
  • Works closely with Cambridge Regional Director to ensure our firm is fully compliant with both industry and Cambridge regulations.
  • Collaborates with Director of Business Development to develop and implement sustainable infrastructure from both a compliance and operational perspective.
  • Is part of the firm’s Transition Team that is responsible for onboarding new advisors to the firm and its’ affiliates as it relates to compliance, client forms completion for suitability, account trading, and product suitability.
  • When needed, may be asked to assist the firm’s New Business Processor in the processing of new account paperwork submitted from the field.

Other Job Duties:

  • Work within a team environment to identify potential sales practice concerns.
  • Travel for SOVs and conferences.
  • Provide awareness across all departments of any investigations, escalations, or emerging risks involving financial professionals and OSJs.
  • Knowledge of mutual funds, annuities, general securities, and other financial products required.
  • Knowledge of FINRA, SEC, and State rules and regulations required.
  • Ability to work in a fast paced/high volume environment and be flexible with work schedule.
  • Ability to multi-task, strong attention to detail, excellent problem-solving and follow-up skills.
  • Excellent oral and written communication skills.
  • Ability to make regulatory and supervisory-based decisions.
  • Proactive collaboration and service-based responses with business partners on escalated issues
  • Ability to develop compliance systems and strategies for effective supervision.
  • Identifies and executes training based on the financial professional’s needs and opportunities.
  • Maintains ongoing positive relationship, and acts as a guide and resource to assigned financial professionals and support staff.

Qualifications:

  • Series 7, 63. 65 or 66, 24, 53, or 4.
  • Experience with all Microsoft applications, particularly, Excel, Word, and PowerPoint
  • Strong interpersonal and communication skills to deal with financial advisors, support staff and Cambridge home office staff in all types of matters including those that may be sensitive.
  • Comprehensive understanding of company policies and procedures and industry rules and regulations.
  • Strong foundation in investment concepts, practices and procedures used in the securities industry, financial markets, and financial products.
  • A leader who can establish and maintain a respected position of leadership to influence, motivate and persuade others to achieve desired outcomes.
  • Project a professional and pleasant demeanor to work with advisors, utilize tact and diplomacy in dealing with customers in a deadline-driven environment.
  • Commitment to providing a high level of customer service in a calm and professional manner, constantly projecting a “Service First” mentality.
  • Ability to effectively organize, manage, track and complete multiple detailed tasks and assignments with frequently changing priorities and deadlines.
  • Employ good analytical skills to be able to research and resolve problems.
  • Work independently under minimal supervision.
  • Operate standard office equipment and use required software applications to produce correspondence, reports, electronic communication, spreadsheets, and databases.

Education/Previous Experience Requirements:

  • Industry experience and compliance experience a plus.
  • Bachelor’s degree from college or university and a minimum of three years of Administrative or Operational experience in the financial services industry.
  • Or an equivalent combination of experience, education, and/or training as approved by the firm.

Licenses/Certifications:

  • Appropriate series license(s) for assigned functional area required or the ability to obtain within an established timeframe.
  • Required to have the Series 7, 24 and 65/66,
  • Series 53, or 4 a plus.
  • Additional licenses (Life/Health/Certifications/Designations) demonstrating the candidate’s knowledge/expertise in industry regulation and concepts preferred.
