Job Description:
The Operations Support Specialist is a crucial role based at our Malvern, PA location, responsible for providing administrative support and ensuring the smooth operation of our business. This position involves a variety of tasks, including customer service, office management, and coordination with various teams. The right candidate will play a critical role in keeping our office a positive, welcoming, and productive environment.
Responsibilities
- Answer phone calls and provide excellent customer service.
- Efficiently manage office supplies.
- Deliver quotes and completed work orders to customers.
- Invoicing.
- Order and check in parts.
- Liaison between the leadership team, scheduler, technicians, and clients.
- Report directly to the general manager.
The Ideal Candidate Will Already Have:
- Prior experience as an administrative assistant.
- Ability to multitask and prioritize daily workload, sometimes under pressure.
- Familiarity with Microsoft Office software (Word, Excel and PowerPoint).
- Familiarity with Microsoft Teams and Google Drive.
- Familiarity with QuickBooks.
- Ability to learn our Field Service Management system (training is provided).
- Strong writing and oral communication skills.
- High School diploma.
Desirable Personal Qualifications:
- Self-starter, extremely organized, and a clear communicator.
- Good-natured and professional.
- Ability to build rapport quickly with other team members and customers.

Compensation & Benefits
- Compensation range is $20.00 - $22.00 per hour.
