Duties

This position is located in the Office of the Assistant Chief of Police.

Duties and responsibilities include, but are not limited to the following:

Assisting in the preparation of requests for procurement, training, travel orders, vouchers, and other forms as needed using applicable automated systems. Initiating the developments of new or revised administrative policies, procedures and instructions needed for the efficient administrative functioning of the organization. Preparing, maintaining, and certifying automated Time and Attendance reports and monitors leave balances using personnel programs and systems, i.e. Work Brain System. Using a variety of Access databases to accomplish overtime reports as well as to enter and log out documents to various offices.

Providing assistance and information to officials and officers with overtime requests, leave requests, FMLA applications, pay certification, payroll corrections, worker’s compensation paperwork, requests for advanced leave, and similar services as requested. Serves as the organization’s liaison for office support services. Notifying appropriate personnel of the need for information or recommendations, and either preparing the response or following up to ensure a timely response by others. Independently controlling and maintaining data in information management systems such as forms, records, mail, directives, or publications management systems.

Consolidating annual funding estimates from subordinate offices into a complete budget request for the division. Organizing estimates by appropriation, object class, and line item following current budget instructions. Preparing required supporting documentation for expenditures such as employee travel, training, and office equipment and supplies. Serving as the organization’s liaison to the purchasing/procurement point of contact to arrange for, monitor, and secure equipment, services, and products for specialized programs or office functions. Maintaining procurement files and databases in accordance with Federal regulations and agency directives. Preparing charts, graphs, and narratives information for management or program analysis reports from material provided by higher-level employees.

Reviewing incoming correspondence, publications, regulations, court notifications and subpoenas, and directives that may affect the organization and assigned officers. Systematically evaluating and improving correspondence operations for an extensive organization with varying functions performed in subordinate offices. Ensuring all certificates and personnel documents are filed. Maintaining the files area in good order, allowing timely access to requested information. Establishing effective working relationships with officials, officers and civilian personnel.

You must be a U.S. Citizen. Successful completion of a Background Investigation is required. Must complete a one year probationary period.

Qualifications

In order to qualify, you must meet the education and/or experience requirements described below.

For the CP-6 level you must have one year (52 weeks) of specialized experience equivalent to at least the CP-5/GS-7 level which is in or directly related to the line of work of the position to be filled and which has equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position. Specialized experience is defined as experience which includes: 1) Knowledge of administrative office support functions, practices and methodology and ability to apply those skills to increase the effectiveness of the office; 2) Skill in using information systems and automated programs to transact business; and 3) Knowledge of budget processes.

Issues of misconduct, such as illegal drug use, arrests, or convictions may not be automatically disqualifying. However, deliberate misstatements, omissions, or intentionally withholding required information at any phase of the hiring process will result in a candidate's disqualification regardless of the nature or reason for the misstatement or omission. The primary reason candidates fail a background investigation is due to deliberately withholding or omitting material facts. Providing false and/or misleading information may be grounds for removal from the application and selection process.
