A day in the life:
  • Maintain Public Transportation Division’s system of record for Oregon's passenger transportation vehicle fleet, transit-related equipment, signs/shelters and facilities.
  • Work with program coordinators to evaluate and analyze current and new policies, procedures and rules.
  • Create, maintain and improve processes to notify grant recipients of requirements.
  • Assist managers in developing and preparing reports, databases, spreadsheets and presentations.
  • Research, compile, review and analyze information and data to prepare internal and federal reports.
  • Act as the Public Transportation Division’s (PTD) federal National Transit Database (NTD) system user manager and delegate roles appropriately.
  • Collaborate with Federal Transit Administration manager to ensure compliance for the division and recipients.
  • Resolve discrepancies, errors and omissions by researching, communicating and negotiating solutions with grant recipients.
  • Assist regional transit coordinators and grant recipients with administrative support functions.
  • Identify, develop and recommend new processes and procedures for grant recipients’ agreements.
  • Work is primarily performed in an office setting with a minimum of 1 day a week in office. Hybrid work options available.

Minimum qualifications:
Three (3) years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An associate degree in general office occupations AND two (2 years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An equivalent combination of education and experience.

  • Demonstrated experience with verbal and written communication skills and conflict resolution abilities.

  • A proven track record of performing technical or administrative support functions independently, making judgment calls and resolving problems.
  • Demonstrated experience using database software and spreadsheet software.
  • Demonstrated experience researching, analyzing and communicating information in and from reports, charts, tables and graphs.
  • Demonstrated experience interpreting and explaining statues, rules, regulations, policies, procedures and financial records to a diverse audience.

  • The salary range for this position will be truncated as of April 1, 2024, which will impact the minimum salary for this classification. The new monthly salary range on April 1, 2024, will be $3,948 - $5483
