POSITION OVERVIEW
DBM Legal Services is actively seeking an Operations Associate to join our evolving team. This role is well-suited for a diverse range of professionals, including paralegals, legal assistants, executive assistants, or business operations experts keen on a startup environment. Starting with 15-25 hours weekly, the position is poised for growth in line with our firm's expansion.
The Operations Associate will report to the Senior Director of People & Business Operations and will collaborate closely with our team of transactional attorneys, gaining rich experience in corporate law and business operations. The Operations Associate role is perfect for adaptable, learning-driven individuals who strive for excellence. This person will be tasked with a blend of hands-on tasks across multiple business functions and will have a voice in strategic operational decisions.
QUALIFICATIONS
- Bachelor's degree preferred.
- Significant legal industry or business operations experience (7+ years) can be considered instead of a bachelor’s degree.
- At least 2 years of professional experience in legal, start-up, or corporate business operations settings.
- Exceptional written and verbal communication skills.
- Strong organizational abilities with efficient time management.
- Ability to work autonomously and within a team.
- High professional integrity and discretion with confidential information.
- Effective problem-solving skills and a pragmatic approach.
- Proficiency in Microsoft Office Suite, with a preference for additional skills in Adobe, Clio, MS Teams, HubSpot, Zoom, Notion, and graphic design.
- Flexibility to work during standard business hours and adjust as necessary.
RESPONSIBILITIES
- Report directly to the Senior Director of People & Business Operations.
- Participate in the entire recruitment process.
- Schedule and coordinate meetings, including creating agendas and managing tasks.
- Communicate with external vendors and manage partnerships.
- Handle invoicing and report generation.
- Support document management for attorneys.
- Conduct legal research, predominantly using Westlaw.
- Obtain essential legal and business documents, such as Certificates of Good Standing.
- Update templates & forms with a keen eye for detail.
- Take on additional roles to aid the team and firm, especially in business operations.
PROJECT EXAMPLES
- Pulling from detailed project management lists created using Notion, create meeting agenda for routine and ad-hoc internal meetings.
- Managing communication with outside vendors including Registered Agents.
- Using Clio, and our proprietary internal database, generate invoices & related reports.
- Update client/candidate records in HubSpot & Notion.
- Insert data into MS Word templates with precision, quick turnaround time, and expert formatting.
- Meeting coordination with both internal team members and external stakeholders.
- Posting to company LinkedIn page (copy & collateral will be provided).
- Organizing/cleaning large Excel spreadsheets based on detailed instructions.
- Organizing cloud storage drives based on provided criteria, naming conventions, and folder structures.
- Monitoring multiple shared email inboxes and flagging communications to the appropriate team member.
- Answering company phone lines and directing calls accordingly.
- Data entry on behalf of attorneys in our proprietary internal database.
