Position Summary:  
As the Operations Admin, you will play a vital role as the first point of contact for our growing Clinical Services organization to ensure efficiency, productivity and consistency across people, process and technology for long-term success. Essential Duties and Responsibilities:

Responsibilities-Program Operations:
  • Support daily operational activities within Clinical Services, to ensure high satisfaction for our contractors, clients and staff from onboarding/orientation through offboarding, providing efficient operations with a team-oriented culture.
  • Support operational strategies, policies, and standard operating procedures (SOPs) through clear written and verbal communications to both internal and external partners.
  • Collaborate cross-functionally (e.g., Growth and Recruitment, Product and Engineering Teams and Revenue Cycle Operations) for clinical operations alignment to the ‘bigger picture’ of Kyros; overall company strategy, mission, vision and supporting services.
  • Maintain program compliance by following program SOPs and tracking systems; report concerns through appropriate channels.
  • Be a steward for necessary process and workflow changes that drive adoption of best practices for high quality programming operations.
  • Support workflow tracking within the CRM Tool or platform to optimize operations across all levels of the program funnel.
  • Foster cross-collaboration across all Kyros Teams to bolster system and platform operations, aligning with long-term development objectives.
Responsibilities-Program Execution:   
  • Respond and manage the program operations as new workflows are created through Confluence/Jira, Kyros Platform and Google Suite for timely program communications and operations.
  • Deliver new program support needs, communications, and tracking to the external services team.
  • Identify services front line issues and risks with program performance and/or trends and bring them to leadership for review.
Responsibilities- Reporting & Analytics: 
  • Analyze and deliver on program funnel KPIs, milestones and program utilization management across the portfolio.
  • Govern adherence to process, best practices and measure and report on achievement of milestones & critical success factors.
  • Develop KPIs on program experience satisfaction and support while in Kyros programming.
  • Other duties as assigned by the Director of Operations and Operations Manager.
Applicants should already reside in Minnesota (there is no relocation eligibility) and have administration experience managing a program through utilization and adoption metrics.
Supervisory Responsibilities: 
  • This role does not entail any supervisory responsibilities. The focus is primarily on individual contributions and operational tasks without direct management of other team members.
Qualifications:
  • Associate’s degree in Business Administration, Marketing, Operations Management, or a related field or equivalent work experience.
  • Proven work experience as an Operations Administrator, or similar role, within a clinical organization; preferably in a fast-paced, dynamic environment.
  • Strong understanding of operational processes, supply chain management, human resources or business administration.
  • Demonstrated ability to develop and implement operational strategies, problem-solve and drive process improvements.
  • Exceptional team-player attitude, with a focus on fostering a positive work culture.
  • Outstanding communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and stakeholders.
  • Proficiency in utilizing relevant software and tools for program operations.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • 2+ years of healthcare experience with a proven track record of program and partnership adoption with various providers and community partners.
Computer Skills:
  • Client Relationship Management (CRM) software – ideally, HubSpot
  • Microsoft Office
  • Google Suite
  • Slack
Preferred (Nice to Have) Qualifications:
  • Bachelor’s or equivalent advanced degree
  • Jira/Confluence/Atlassian experience

The noise level in the work environment is usually moderate. Note, this is a Minneapolis-based role operating out of the Kyros HQ in downtown Minneapolis. The expectation is a primarily onsite (in-office) presence.
