The Opportunity

ConvenientMD is seeking a highly organized and detail-oriented Onboarding Specialist to take charge of the onboarding process for our growing workforce, which includes corporate employees, allied healthcare workers, and providers across Maine, New Hampshire, and Massachusetts. This person will play a crucial role in the new team member experience and will be responsible for coordinating the onboarding of up to 1200 new hires annually.

Based in Portsmouth, this role will be reporting directly to our Human Resources leader.

Your Impact

  • Ownership of Onboarding Process: Lead and execute end-to-end onboarding processes for new hires, ensuring a smooth and positive experience.
    • Work in a fast-paced environment to onboard employees in a timely fashion, meeting the company's growth targets.
    • Act as the first touchpoint for new team members as they enter into COnvenientMD.
    • Ensure correct onboarding experience is sent to new team members and that all expectations and deadlines are clearly communicated.
    • Monitor each new team member’s onboarding tasks, proactively follow-up when they’re at risk of not completing tasks by deadlines.
  • ADP Superuser: Demonstrate proficiency in navigating ADP functionalities, resolving issues, and providing valuable insights to optimize the onboarding experience.
    • Regularly audit the team’s use ADP for onboarding to ensure we’re taking advantage of all features and functionality.
  • Background Checks: Manage and oversee the background check process for all new hires, ensuring compliance with company policies and regulatory requirements.
    • Maintain vendor relationships with background check entities and in collaboration with the Senior Director of Talent, ensure timely renewals.
  • Onboarding Communications: Develop and implement effective communication strategies to guide new hires through onboarding tasks and expectations.
  • Support Revamp Onboarding Process: Contribute to the ongoing revamp of the company's onboarding process, aligning with best practices and ensuring a modern and efficient onboarding experience.
    • Proactively suggest improvements to the current onboarding process based on daily experiences and pain points.
    • Find ways to tailor each onboarding experience for corporate employees, allied healthcare workers, and providers in various healthcare settings to ensure they’re only asked to complete the tasks relevant to them.
    • Once onboarding is revamped and streamlined, begin taking over team member offboarding process.
  • Offer Rescinding: Handle the process of rescinding offers when necessary, maintaining professionalism and compliance with company policies.
  • Collaboration & Communication: Foster seamless collaboration and open communication channels between HR, Compliance, Talent, Training teams and managers.
    • Proactively communicate onboarding delays with hiring managers and Talent team members to ensure transparency.
    • Work with HR & Compliance teams to ensure adherence to Federal and State laws.
    • Communicate changes in process, policies, and timelines to all stakeholders.
    • Work with facilities and IT to ensure timely delivery of new hire tech and badges.
    • Provide professional and thoughtful feedback to stakeholders ensuring accountability and adherence to shared expectations.

Who You Are

  • Experience in similar roles: At least 1-2 years of related experience, ideally in People Operations, Recruitment, Human Resources, or as an Administrative Assistant.
  • Enthusiastic about new experiences and growth: Eagerness to learn and grow in the People Operations/Talent Acquisition space.
  • Candidate/team member centric attitude: Understands the importance of creating a great experience for new team members, able to balance need for legal and compliance requirements with user experience.
  • Driven and self-motivated: Ability to work independently and proactively, possess a level of initiative and enthusiasm to help drive results.
  • Trustworthy: Ability to ensure the accuracy of highly detailed and confidential information
  • Detail oriented multi-tasker: Ability to effortlessly pivot from one task to another with incredible attention to detail and exceptional organizational skills.
  • Effective communicator (written and verbal): Able to provide information in a digestible and clear way whether via Teams, phone, or in writing.
