Onboarding Specialist, East Hawaii Medical Group

SALARY: Starting at $50,000, Commensurate with experience

JOB OVERVIEW: Provides administrative support and facilitation of the provider on-boarding process.

ESSENTIAL FUNCTIONS:

  • Facilitates the comprehensive onboarding process for employed physicians, advanced practice providers, independent contractors, temporary medical staff, and other independent medical staff providing healthcare services at any of the HHSC-East Hawaii Region facilities.
  • Works closely with department leadership to ensure an onboarding process that is timely, complete, and streamlined. Tracks provider onboarding from the point of formal notification from Provider Recruitment and/or Medical Staff Services through 20-days post arrival.  
  • Maintains consistent communication with the onboarding provider and departmental leaders to ensure transparency and continued improvement of the provider onboarding experience. Serves as primary point-of-contact for the provider throughout the onboarding process.
  • Maintains an onboarding tracking worksheet/database reflecting the provider specific onboarding status; due dates of major tasks; coordinated meetings and appointments; issues and concerns; documentation of all onboarding related communications; as well as status updates and copies of all required forms, training, licenses, and permits.
  • Prepares and disseminates departmental specific checklists tracking major and minor tasks; dependencies; responsible personnel; and task due dates. Prepares, organizes and disseminates provider onboarding agendas. Notifies departmental leaders of any delays, issues, or concerns with the onboarding process. Attends monthly onboarding meetings to update departmental leaders and key stakeholders.  
  • Provides continued assistance to newly hired providers in becoming acclimated to the organization and community during their transition/relocation. Contacts new hires after 30 and 60 days to determine satisfaction with the onboarding process and assess opportunities for improvement.
  • Immediately notify supervisor if major onboarding activity due dates and milestones are at risk of not being met to include required licenses; training; EMR access; medical staff credentialing; malpractice coverage; and provider insurance enrollment.
  • Works with Provider Recruitment to stay current on regional hiring initiatives.  Provides input to improve provider onboarding processes. Demonstrates flexibility and availability in scheduling provider onboarding related meetings to include availability on nights and weekends, to accommodate provider’s schedule. Provides timely follow up with the provider throughout the onboarding process.
  • Provides administrative assistance with periodic performance reviews by collecting and organizing internal and external data on key performance indicators. Prepares and maintains weekly, monthly, quarterly, and annual charts and reports as needed. Collects internal, external and national benchmark data as needed.
  • Develops strong relationships with providers and effectively maintains professional contact and communication.

 

QUALIFICATIONS:

Education:Bachelor’s degree in Human Resources, related field or equivalent. Excess experience of the type and quality described below may be substituted for education on a year-for year basis.

Experience: Minimum of Two to four years recruiting experience; provider, healthcare, or agency recruiting experience preferred.

Skills:

  • Advanced proficiency in various computer applications, e.g. word processing, excel spreadsheet, e-mail, database management and presentation software.
  • Excellent communication skills including negotiation skills; must be persistent and persuasive.
  • Must be able to establish rapport and effective working relationships with providers and clinic administrators.
  • Must be able to prioritize multiple responsibilities and manage a large workload within tight deadlines.
  • Excellent problem-solving skills and self-motivation.
  • Ability to develop alternative solutions to problems; comparing and analyzing data; preparing clear, concise, thorough, meaningful, and grammatically correct written reports, letters, memoranda, and other documents.
  • Ability to independently plan, organize, prioritize, schedule, coordinate, and make decisions relating to assigned tasks.
  • Very strong customer service orientation, positive attitude, highly self-motivated, directed and change oriented.
