About the Role

As the Office/Workplace Specialist, you will work to develop a workplace that allows FareHarbor employees to deliver the best results for our clients. This multifaceted position is designed for a proactive, organized individual who thrives in a fast-paced environment and is passionate about creating an efficient, welcoming workplace for employees. With several offices across North America, the person in this role will work closely with a dispersed group of people to ensure our physical office spaces meet our employees needs, and will operate digital processes to react to other ad-hoc needs as they develop.

The ideal candidate for this role is a detail-oriented, efficient problem-solver with excellent communication skills and the ability to manage multiple tasks simultaneously. A background in office administration, IT familiarity, and experience in finance or procurement are highly advantageous. This role requires a team player with a positive attitude, capable of adapting to changing priorities and fostering a collaborative, supportive office environment.

What you'll do here:

  • Maintain the quality of all aspects of the physical Denver office: Own the day to day working of the office, submitting work orders, coordinating with other teams needs for use of the space and ensuring the office space is well maintained and functional
  • Serve as the Point of Contact (POC) for Physical Offices: Be the initial point of contact for all matters related to our additional physical offices, including acting as the emergency response coordinator to ensure a safe and secure environment
  • Develop and Manage Office Supplies and Inventory Strategy: Strategize and oversee the management of office supplies and inventory, ensuring availability while optimizing costs and space, maintain positive vendor relationship, ensure timely payment
  • Oversee Coffee and Snack Provisions: Ensure a constant supply of coffee and snacks, managing inventory and preferences to keep our team energized and satisfied, maintain positive vendor relationship, ensure timely payment
  • Coordinate Office Parking Logistics: Organize office parking arrangements to efficiently meet the needs of employees and visitors
  • Facilitate Catering Arrangements: Work closely with commercial leadership to arrange catering for meetings and events, focusing on quality and variety
  • Manage Access Control Systems: Oversee and maintain office access control systems to support the employee journey, both in-office and remotely, and manage the visitor process
  • Act as IT Point of Contact: Address all IT-related inquiries, troubleshoot office internet issues and conferencing devices, and manage employee hardware needs, including inventory management and support for both in-office and remote setups
  • Handle Regional Purchasing: Take charge of regional purchasing tasks, including procuring swag, conference materials, and hardware, ensuring efficient and cost-effective acquisitions
  • Support Finance/Procurement Activities: Assist with finance and procurement processes, helping other teams with the acquisition of swag, business cards, conference materials, vendor contracts, and more, while managing the finances related to workplace resources
  • Manage the Office Credit Card: Oversee the office credit card, handling levy notices, the accounts payable inbox, tracking invoice payments, and managing receipts, along with utilizing Ivalua for invoice/contract submissions and vendor creation backups
  • Execute Office Parties/Events/Outings: Collaborate with the Culture and Engagement team to plan and execute office parties/events/outings, support other offices to ensure all employees across all offices have the same experiences

Salary Range: $45,584-$68,376, plus 10% bonus potential
