Job Summary:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. The Office Assistant will be responsible for providing administrative support to ensure efficient operation of the office. The ideal candidate will have excellent communication skills, be proficient Microsoft Office, and have experience with file management and office organization.
Responsibilities:
- Perform general office duties, including answering phone calls, responding to emails, and managing correspondence
- Greet visitors and direct them to the appropriate person or department
- Conduct regular balance sheet reconciliations to ensure accuracy and integrity of financial data
- Manage the accounts receivable process, including invoicing, collections, and customer communication
- Manage and update company databases and filing systems
- Prepare reports, presentations, and other documents using Google Suite and Microsoft Office
- Coordinate meetings, appointments, and travel arrangements for staff
- Assist with bookkeeping tasks using QuickBooks software
- Provide support to other team members as needed
Skills:
- Proficient in using Google Suite (Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in data entry and record keeping
- Previous experience as a dental receptionist or medical receptionist is a plus
- Familiarity with QuickBooks or other accounting software is a plus
- Ability to maintain confidentiality of sensitive information
- Proactive problem-solving skills
Experience required:
- Minimum of 5 years of experience in accounting or finance roles, with at least 2 years in a managerial position
- Strong knowledge bookkeeping principles and practices
