Role overview
The Office Specialist, reporting to Sr. Manager, Facilities, is responsible for providing an exceptional onsite employee experience managing the day-to-day work that keeps the office running smoothly and efficiently. In this role, you will embody our values: making Accolade fun, inviting, and the best place to work. You'll be known as the go-to resource for employees, visitors and vendors, and be a reliable member of the national facilities team. In this position, you will also handle administrative duties & requests, directly supporting members of Accolade's leadership team.
A day in the life...
  • Builds and upholds strong rapport with employees, managers and customers, creating an inviting office environment and, when needed, partnering with onsite resource when necessary to resolve problem situations in a professional and timely manner.
  • Provides relevant office and building announcements to all employees, including senior leaders and addresses facility related questions and requests in a timely fashion.
  • Assists with onboarding of new employees, including leading tours to educate new employees on facilities best practices that help maintain building standards and cleanliness.
  • Monitors employee adherence to physical building and data security measures, including employee reminders on best practices like no tailgating, visitor policy, PHI document disposal, etc.
  • Monitors, and takes partners when necessary, for routine facility maintenance including but not limited to: janitorial, document shredding, HVAC adjustments, parking validation, etc. and acts as the primary point of contact with associated vendors as needed for management and upkeep.
  • Assists and takes partners when necessary, for office moves and desk/floor reconfiguration projects in close coordination with hiring manager(s), leader(s) and IT. As needed, supports conference room booking, balancing meeting size and priority.
  • Assists with office badge management for all onsite employees, including visitors, capturing employee photos for badge and system record upkeep.
  • Supports shipping and receiving logistics, including incoming mail and package deliveries, shipping of personal belonging for former employees, and maintaining confidentiality and tracking status throughout this process. This may require lifting heavy items.
  • Monitors office supply inventory and places orders as necessary, optimizing spend to ensure costs remain within designated budget.
  • Act as a nimble member of the national facilities team, prioritizing and re-prioritizing tasks as needed in a resilient fashion.
  • In direct partnership with Talent Management team, assist with office community event planning; fostering a sense of community to drive our culture and employee experience on-site.
    • Execute and promote local and company sponsored events to ensure high participation and engagement from local office employees
    • Oversee setup, execution and clean-up of onsite events.
    • Share key wins, takeaways and learnings with the broader facilities and engagement teams to continue to evolve our onsite experience and be the best place to work for our employee base.

What we are looking for...
  • 3+ years of general work experience, some general office experience preferred
  • Highly organized and demonstrated ability to prioritize work tasks in a timely manner
  • Proven track record to bring a "no job is too big or too small" attitude to work
  • Basic experience and skill with the MS Office Suite including in-depth knowledge of Outlook, Word, Excel with the ability to learn new systems and software with ease
  • Demonstrated proficiency in project management duties
  • Demonstrated ability to maintain confidential and sensitive data
  • Drives for continual improvement with a high attention to detail
  • Requires some physical activity and ability to lift up to 20 pounds
