ABOUT THE POSITION

This position is PART-TIME| W-2 Employee | Monday - Friday |~15-20 hours per week . Flexible between 7AM - 6PM EST.

Location: 100% remote, HOWEVER, you must reside in and work from MD, VA, FL, AZ, or TX where we are registered.

Independent contractors will not be considered for this opportunity.

This roles wears many hats... Full Charge Bookkeepr, Client Relations Specialist, and Human Resources coordinator. The ideal candidate will provide bookkeeping, reconciliation, G/L account analysis, and month end closings using prior bookkeeping experience. A key aspect of Client Relations is understanding accounting just a little bit more than the client does. This team members able to translate data requests from the accountants to the clients is a must. This position requires payroll processing and benefit administration to make sure the firm's greatest assets, its team members, are compensated adequately and on time. The Office Manager/Bookkeeper performs quarterly and year end closing processes that support financial reporting, tax preparation, and compensation analysis for the firm. Coordination with specialized HR specialists to accomplish specific tasks is expected in this role. Experience working with confidential information is highly valued.

Responsibilities for our 5-member team:

INTERNAL ACCOUNTING SUPPORT

  • Provide administrative support for all financial functions within the firm
  • Keep financial data entry and recordkeeping up to date
  • Prepare and process financial documents, such as invoices and expense reports
  • Close the firm's books monthly, including bank and credit card reconciliations
  • Perform quarterly and year end close and reporting
  • Coordinate and resolve issues with vendors and consultants
  • Conduct research and gather data for financial analysis and reporting
  • Maintain organized filing systems for financial documents and records
  • Assist with proofreading and editing financial reports and correspondence
  • Process firm's payroll online
  • Record adjusting entries in the accounting system
  • Prepare and process employee-related financial documents and reporting

HUMAN RESOURCES

  • Maintaining employee records
  • Onboard and offboard employees
  • Preparing compensation analysis and submit retirement reporting
  • Review and update policies, as needed
  • Working with outside Human Resource vendors for more specialized tasks
  • Prepare employee communications involving benefits and payroll

CLIENT RELATIONS

  • Serves as a “Gatekeeper” for all other members of the CAS team by handling routine emails, telephone calls and other direct communications received from CAS clients
  • Reviews and assists with scheduling of Service Order and support requests received from clients
  • Supports/assists with routing of Service Order requests to Client Acquisition, to Client Support or to the 3rd party software solution vendor where appropriate
  • Scheduling and confirmation of weekly, monthly, and other virtual/phone meetings for the CAS team, with related telephone and electronic client communications
  • Prepare and demonstrate technology solutions
  • May participate as part of the Marketing meetings and manage firm blog posting on social media sites, including assisting with the gathering of industry information and development of content
  • Direct contact with 3rd party vendors for routine client account and support matters
  • CRM database records maintenance and updates with periodic “deep clean-up”
  • Director of Client Celebrations and Rewards
  • Liaison with client acquistion and marketing
  • Assist in proposal development
  • Assist with client communications and management to support the CAS practice area staff

Qualifications:

  • Associates Degree
  • 5+ years' booking experience using accounting software
  • 2+ year's experience handing payroll and other confidential employee information.
  • Prior experience in a customer/client service role, preferably including both business-to-business support and individual consumers
  • 1+ year of working remotely without missing deadlines or compromising work quality.
  • Intermediate/advance Excel 2013+ user, including knowledge of tips and tricks
  • 2+ years working experience with Microsoft 365 including Word, Outlook, SharePoint, Adobe, online applications, mobile apps, plugins, digital collaboration tools and video/virtual conferencing platforms.
  • Prior experience communicating task status and issues using task management applications.
  • Experience figuring out how to use most business software applications, using tutorials or self-taught.
  • Ability to handle confidential information with discretion
