**Job Title:** Office Assistant
**Job Type:** Full-Time, Monday through Friday
**Location:** Remote Work
**Salary Range:** $45,000 - $50,000 Salary negotiable based on experience
**Job Description:**
We are seeking an organized and proactive Office Assistant to join our team. The ideal candidate would have experience using QuickBooks and Excel, with familiarity in Buildertrend being a plus. Their primary responsibilities include, but are not limited to, communicating with clients, drafting contracts, completing permit applications, managing incoming calls and emails, and utilizing Seller Base.
**Responsibilities:**
- Utilize QuickBooks and Excel for financial record-keeping and reporting
- Familiarity with Buildertrend is advantageous
- Record expenses incurred by the business to Buildertrend
- Schedules new estimate appointments
- Generate invoices throughout job phases
- Communicate with new and existing clients in a professional and courteous manner
- Draft and manage contracts, proposals and change orders
- Complete permit applications
- Manage incoming calls and emails
-Filling and submitting Permits as needed
- Utilize Seller Base for effective management of sales processes
- Maintain business insurance, certifications, documents and filing system
- Assist with general office tasks and administrative duties as needed
**Qualifications:**
- Fluent in English, bilingual - Spanish is a plus
- Proficiency in QuickBooks and Excel
- Experience with Buildertrend is a plus
- Knowledge of permitting, use of eCLIPSE
- Strong communication and customer service skills
- Ability to draft contracts and fill out permit applications accurately
- Organized and detail-oriented
- Familiarity with Seller Base
- Previous Office Assistant or administrative experience is preferred
