Job description

Office & Administrative Manager

Job Description:

The Office & Administrative Manager exists to directly affect the success of the restaurant by maintaining the vision of the Operator through prioritizing organization and time management of financial, hiring and administrative needs. They should have a desire to serve and meet the needs of others with a positive influence throughout the restaurant. This position will report directly to the Assistant General Manager.

Requirements:

  • Available to work 40 hours/week including holidays and weekends based on the needs of the business.
  • Able to work independently and with a team, is self- motivated, and confident.
  • Preferred education- Bachelor’s Degree
  • Demonstrate humility and have the ability to have difficult conversations regarding guest complaints, Cares, or HR needs.
  • Project confidence and maturity through speech and actions. Due to the sensitivity of the information managed, ability to maintain confidentiality is crucial.
  • Writing, proofing and editing business communications that are viewed as clear, consistent, relevant, timely and professional by the receiver(s) and accomplish the primary objective of sender.
  • Listen and speak to others in a manner that demonstrates honor, dignity and respect, which supports the corporate goal of being the world’s most caring company.
  • Establish standards and systems for ensuring the necessary records and documentation are stored properly, securely and easily found when needed.
  • Assist the front of house team and serve guests daily during peak hours or as needed.

Hiring - Duties & Responsibilities:

  • Enroll all new hires into the Chick-fil-A HR Payroll system, Hot Schedules, & send initial online training email. Communicate completion to GM/ Assistant GM, Training Director, etc.
  • Preform phone screen interviews and determine if applicants should move forward in the interview process.
  • Create and maintain a digital file folder for each new hire and file appropriate documents needed (ex. Food Handlers, ID, parent/ guardian signature, etc). File folders upon team member job completion.
  • Follow up with new hire regarding uniform orders and create name tags with their clock-in pin.
  • Complete Co-op paperwork for high school students.
  • Keep 90 day evaluation calendar and communicate with Director of Operations at 60 days.
  • Keep record of all food handlers certificates and expiration dates

Administrative - Duties & Responsibilities:

  • Manage benefits for all team members and ensure communication regarding enrollment (health, retirement, etc).
  • Maintain store email regarding payments, invoicing, maintenance scheduled and update work calendar as needed.
  • Interact with Chick-fil-A Support Center reps as necessary: Accounting, Tri-Mark, Help, etc.
  • Review and correct time punches with documentation to make sure they comply with labor laws.
  • Input and oversee supplier payment/invoicing processing (QCD, Creation Garden, Klosterman, Rumpke, Toyota etc), follow up on credits, and build relationship with vendors.
  • Maintain accounts receivables, collected sales and Purchase Orders for customers.
  • Review the monthly, quarterly & yearly CFA maintenance calendar and communicate with leaders or vendors to make sure we are up to date.
  • Place Supply Central orders weekly.
  • Manage and track expenses on company credit card.
  • Answer and screen all phone calls, assist with catering orders/customer calls, and log attendance for team member call outs/late arrivals.
  • Place change order twice a week, prepare/send deposit bag with Loomis, count change fund/safe daily.
  • Finalize Inform and end of day work flow and maintain cashier overages and shortages.
  • W-2 Distribution & update addresses as needed.
  • Weekly cleaning of office— remove clutter, organize, sanitize surfaces, first aid kit stocked, printer ink, etc.
  • Reconcile “to be collected” accounts and follow up with customer/ management team on accounts with outstanding balances past 30 days.
  • Perform various duties as requested by the leadership team.
