JOB DESCRIPTION:
CENTRAL SECRETARY I - EXCEPTIONAL CHILDREN SERVICES 1022.03AR
MINIMUM QUALIFICATIONS:
- High school graduate with general clerical and computer skills.
- Professional language and telephone usage.
- Ability to work and collaborate with a variety of people
- Strong organizational and time management skills with the ability to multitask.
JOB GOAL: To provide high quality support for Exceptional Children Services, and complete programmatic tasks in an accurate and professional manner. PERFORMANCE RESPONSIBILITIES:
- Provides support to special education staff and assessment staff in preparation of all due process forms and documents and items needed for assessments.
- Maintains/Updates district document tracking forms and lists for compliance with federal mandated timelines for referral/reevaluation process.
- Creates report templates for psychologists.
- Sends out all appropriate rating scales to parents/teachers and tracks until completion
- Reviews and tracks initial evaluations and total assessments for each school for monthly support staff meetings.
- Updates caseloads weekly and sends to Exceptional Children Services support staff and all ARC Chairs.
- Updates, duplicates and types forms required for due process procedures as indicated through changes from federal and state departments of education.
- Maintains files for Exceptional Children Services and generates reports.
- Prepares correspondence for Director of Exceptional Children and other departmental personnel.
- Sends and receives email messages for departmental personnel.
- Makes copies, file folders, binders, etc. as requested by Director of Exceptional Children Services, and other departmental personnel.
- Maintains due process/504 files - active and inactive student files for Assessment Staff. Destroys files as appropriate.
- Provides back up support for other secretarial staff as needed.
- Attends training related to Medicaid. Responsible for processing Medicaid related forms for reimbursement.
- Maintains Medicaid documentation website. Reviews monthly Medicaid reimbursement for support staff meetings.
- Other duties as assigned by the Director of Exceptional Children Services.
