- BASIC FUNCTION
DUTIES AND RESPONSIBILITIES
- Schedules (and reschedules) appointments for the RN; maintaining a quota of appointments for the department.
- Creates new charts as needed and files them accordingly.
- Purges the Nursing section of the chart as needed and files purged records per agency protocol.
- Communicates with clients/ family /case managers, etc. as instructed by Registered Nurses or physicians / DNP.
- Accurately completes and processes prior authorizations (and approvals / denials) using Cover-My Meds and hard copy forms.
- Accurately completes and processes PAP paperwork.
- Ensures all reports, labs and other-related clinical information is available prior to scheduled appointments and is then filed/scanned in patients’ medical record.
- Maintains adequate medical supplies and forms in the Nursing Office.
- Takes and logs in all telephone messages and returns messages / provides feedback and answers to clients /physicians / pharmacies / insurance carriers as appropriate.
- Triages and processes / relays messages from patients and Support Staff to physicians and Registered Nurses.
- Accurately maintains all medication logs and required medication inventories (i.e. refrigerator temperatures, medication samples and PAP medications [received, destroyed and given to clients], receipt of all injectable medications, requesting delivery of injectables, etc.).
- Completes an accurate end-of the month inventory of all sample medications and relays results of same to the Nursing Director.
- Pulls and prepares all client charts for the Registered Nurses (and as assigned, physician charts)
- Makes RN appointment reminder calls to all clients the day before their scheduled appointments.
- Accurately and, in a timely manner, files all necessary paperwork into chart for Physician / RN review.
- Contacts laboratories for routine reports / results and relays same to the RN on duty.
- Collects urine and saliva specimens for ordered testing, accurately completes required paperwork and schedules timely pick-ups for specimens.
- Educates and reinforces, with clients, the importance of maintaining regular appointments.
- Schedules clients for follow-up appointments and enters those appointments (including focus of follow-ups) into Welligent.
- Attends all scheduled staff meetings, in-service trainings, and outside conferences as directed.
- Completes all other duties as assigned by Registered Nurse on duty / Support Staff Supervisor and /or OP Director.
- Experienced working in busy, fast-paced environment
- Enthusiastic and professional attitude
- Good communication skills; English-Spanish bilingual oral communication strongly recommended

- Able to lift a minimum of 10 lbs.
- High School diploma or equivalent
- MA certification strongly preferred.
