The Jacobs & Cushman San Diego Food Bank is currently hiring for a full time, regular, benefited Nonprofit Services Coordinator - EFAP (Emergency Food Assistance). POSITION PURPOSE The Jacobs & Cushman San Diego Food Bank is currently hiring a full-time Nonprofit Services Coordinator for our Emergency Food Assistance Program (EFAP), who is responsible for providing a wide variety of moderately difficult responsibilities, specialized administrative and program-related duties, and implementing systems to improve program efficiencies in support of the San Diego Food Bank's operations and other duties as assigned.

PRIMARY RESPONSIBILITIES Conduct monitoring visits and capacity building for EFAP distribution sites, EFAP Soup Kitchens, and Food To Nonprofit sites as assigned. For EFAP agencies, retrain agency staff on all areas of non-compliance (Including Civil Rights Training), both in writing and verbally during site visits. Review agency monthly inventory and people served reports for proper documentation and certification compliance procedures (Including signatures/registration of participants and proxies, complete inventory report, distribution procedures, leftover inventory management) and notify any agency that is not acting with compliance with eligibility guidelines.

Retrain agency staff on all areas of non-compliance, verbally and in writing. Host Emergency Food Assistance Program training when EFAP Program Specialist is unavailable. Prepare ongoing correspondence, memos, communication for retraining on compliance procedures, and other communications with EFAP Partners (Including pressing, time-sensitive problems at the distribution sites, such as: delivery inventory and timeliness issues, closures, reporting, RFP opportunities, civil rights and more.) Monthly Dish newsletter contains important information for EFAP partners such as: best practices, EFAP Roster, training, and Agency of the Month.

Responsible for screening and opening new EFAP sites. Will determine site eligibility, geographic need ensure completion of paperwork, and provide onboarding support. Focus efforts on underserved communities throughout the County.

Coordinate with the EFAP Program Specialist and the Operations team to implement appropriately planned distributions, considering logistics and community needs. Work with staff and volunteers at distribution locations during their first distribution. Prepare all materials needed, including compliance posters, numbers, participant calendars, flyers, and others.

Responsible for responding when EFAP distribution sites are terminated or retired, by preparing plans and materials to redirect participants to alternative sites in the vicinity. Refocus EFAP agency opening efforts on reopening a new distribution in the vicinity as soon as possible. Ensure coverage of the Nonprofit Food Center by checking agency status, scheduling appointments, receiving payments, and helping shoppers sign electronically for their food invoice from the Food Center.

Serve as backup to FTNP Specialist in maintaining accurate accounting of Nonprofit Partners' payments to accounts and submit weekly check drop and credit card statement to Accounting Department, send monthly statements to Nonprofit Partners with past due balances. Field any participant complaints and ensure all complaints are properly documented, communicated to the agency, and resolution is found. All complaints must be filed.

Build EFAP Partner relationships and identify capacity building opportunities to include FTNP, Neighborhood Distribution, and Senior Food Box programs for the communities they serve. Maintain and respond to inquiries related with the EFAP and FTNP from participants and Partner Nonprofits, the public and volunteers, and provide necessary information and materials. Resolve EFAP related issues by generating solutions with Emergency Food Assistance Specialist, the Food Bank's Operations team, and the Partner Agency.

Responsible for updating agency contacts and distribution information into Primarius database and ensure all agencies have proper documentation of fully executed agreements, addendums, proof of 501c3 IRS tax status or Church Qualifier letter, list of agency's Board of Directors and Civil Rights Coordinator Designation on file. Maintaining accurate public information promoting food distribution sites on 2-1-1 San Diego and internal roster. Update time-sensitive information regarding changes in distribution times, closures, and reschedule dates with adequate sense of urgency.

Represent the Food Bank at community events and collaborative meetings. Provide occasional coverage for front desk and other Programs personnel. EDUCATION, TRAINING and EXPERIENCE A typical way of obtaining the knowledge, skills and abilities outlined above is graduation from high school or G.E.D.

equivalent; and two years of progressively responsible experience in performing office duties ; or bachelor's degree with a major in sociology, social work, economics, public health, or a closely related field; or an equivalent combination of education and experience. IDEAL CANDIDATE We are looking for a Nonprofit Services Coordinator (EFAP) who has a superb attention to detail, excellent customer service, strong time management skills, be self-motivated with outstanding follow through skills, and have the ability to work independently with minimal direction. SKILLS, KNOWLEDGE & ABILITIES Knowledge of: Windows Operating Systems, Microsoft Office Suite (Excel, Outlook, PowerPoint, Word, Publisher) Adobe Acrobat PDF Operate standard office equipment.

Computer operations using word processing and other business software. Organizing and maintaining specialized documentation. Basic accounting tracking and mailing statements.

Association and program rules, policies and procedures applicable to assigned areas of work. Correct English usage including spelling, grammar, and punctuation. Ability to: Perform highly detailed work on multiple, concurrent tasks with frequent interruptions.

Learn and apply program rules, policies and procedures applicable to assigned areas of work. Communicate effectively orally and in writing. Travel frequently within San Diego County to Food Bank distribution sites, including evening and weekend hours.

Learn federal, state, and agency policies required to administer charitable feeding programs. Learn the Primarius inventory tracking system and Oasis insight client database. Prepare clear, concise and accurate reports, correspondence and other written materials.

Manage multiple priorities with competing deadlines. Meet intensive and changing deadlines and interact with officials, staff and the public. LICENSES, CERTIFICATES, SPECIAL REQUIREMENTS Background check and drug test is required for the position before employment starts.

A valid California Driver's License Bi-lingual (preferred) COMPENSATION This is a full-time, benefited, hourly/non-exempt position at $21.00-$23.00 per hour. The compensation package includes an excellent benefits package including, but not limited to: 403(b) plan with 200% employer matching up to 3%; 100% employer paid health care coverage for employees; Company paid term life insurance and short-term disability; 14 paid holidays, 15 vacation days, and 12 sick days.
