LAREDO TECHNICAL SERVICES, INC. (LTSi) is a government contracting company in San Antonio, Texas. LTSi is currently submitting a proposal on a contract with the National Institutes of Health for 1 (one) individual that would be interested in a PART-TIME position as an Administrative Assistant 2 (SCA Labor Category 01312) should LTSi be awarded the contract.

Job Summary: The NIH, part of the U.S. Department of Health and Human Services (HHS), is the prime Federal agency for conducting and supporting medical research. It is comprised of 27 Institutes and Centers (ICs) through which it conducts research on a wide range of issues. The goal of NIH research is to acquire new knowledge to help prevent, detect, diagnose, and treat disease and disability, from the rarest genetic disorder to the common cold. The NIH mission is to uncover new knowledge that will lead to better health for everyone. NIH works toward that mission by: conducting research in its own laboratories; supporting the research of non-Federal scientists in universities, medical schools, hospitals, and research institutions throughout the country and abroad; helping in the training of research investigators; and fostering communication of medical and health sciences information.
Period of Performance:
The contract start date has not been determined. The contract will run for 1-year (12 months), unless the contract is cancelled or extended by the government.
The work will not be more than 468 hours per year.
Work hours will be limited to be within the hours of 0900 to 1200 (9:00 AM to 12:00 PM noon), Monday through Friday.
Required Qualifications:
A high school diploma OR GED AND 2 (two) years of related work experience are required.
Ability to multi-task and assist multiple NIH employees at once.
Skill in oral and written communications.
Work experience demonstrating proficiency in using Windows operating system and Microsoft Office programs including Outlook, Word, and Excel.
Strong interpersonal skills.
Preferred Qualities:
Knowledge of NIH policies and procedures governing review of personnel request documents.
Skill in maintaining multiple calendars in Microsoft Outlook.
Knowledge in reviewing and disseminating memorandums to staff.
Conducting document control for routing through office.
Assist with purchase requests for small purchases.
Primary Responsibilities:
Copying, faxing, filing, and scanning.
Contractor must be knowledgeable in the operation of office equipment (computers, copiers,
fax machines, labelers, etc.) to scan, file and/or store both electronic and paper documents for
future reference.
Responding to first line inquiries from key public, internal and external constituencies.
Submitting and following up on requests for services (telephone, key request and help
desk etc.).
Arranging for housekeeping.
Providing meeting support services (reserve space for meeting, coordinating logistical
and administrative arrangements for guest speakers and meeting attendees, organizing
and supporting workshops and meetings).
Procurement support services (preparing purchase requests for office supplies,
answering questions, and investigating discrepancies related to purchases.
Assisting with tracking and maintaining associated files related to purchases and
personnel support services (preparing personnel packages and assisting with updating of
Curriculum Vitaes (CVs), bibliographies, biosketches, and supplementary administrative
support as needed by CRB)
Perform administrative and office support activities.
Assist multiple NIH employees at once.
Assembling, copying, faxing and scanning a variety of materials and ensuring proper distribution of copies as required.
Greeting visitors, answering the main office phone, and taking messages as required.
Maintaining the main staff directories.
Preparing writing and editing a variety of correspondence including letters and memos.
Preparing creating, formatting and editing spreadsheets, presentations and charts.
Assisting with performing searches of electronic and hardcopy files and databases for records, supportive data and historical documents.
Assisting with preparing or drafting initial correspondence in response to requests and in preparing an array of other documents for release in response to requests.
Responding to first line inquiries from a wide variety of key public, internal and external constituencies.
Maintaining travel associated files.
Perform internet research.
Perform data entry.
Manage and update spreadsheets in Microsoft Excel.
Greet and direct visitors.
Respond to phone calls and transfer to the appropriate office as needed
Schedule meetings in Microsoft Outlook.
File and/or fax documents.
Route documents to appropriate offices, and disseminate memoranda to staff.
Prepare purchase requests.
Review memoranda and other correspondence and edit for proper grammar and format.
Compile equipment needs of office staff into a Microsoft Word document or other typed format.
Prepare training requests.
