Job description

It is the responsibility of the Mobile Adoptions Coordinator to; coordinate, organize, prepare and operate Houston Humane Society’s Mobile Adoption Program; to adopt animals and bring public awareness about the Houston Humane Society, its programs and services.

Principal Duties and Responsibilities:

  • Oversee the HHS Mobile Adoption Program to ensure that HHS has a visible presence in the community and that animals are given another resource for adoption.
  • Respond to requests about having Mobile Adoptions at various locations and work to accommodate as many mobile adoption events as possible.
  • Work with Adoption Staff, Volunteer Coordinator and Volunteers to schedule, organize, staff, and operate HHS Mobile Adoptions.
  • Train volunteers to work mobile events and process adoptions.
  • Choose adoptable animals to attend mobile events.
  • Work with Adoption Staff and clinic to ensure that animals are spayed/neutered, current on vaccinations, microchipped, and ready to go home with an adopter the same day as the event.
  • Prepare animal paperwork to be completed at the mobile event.
  • Organize the supply tubs, with cleaning supplies, paperwork and office supplies, and load into vehicle.
  • Ensure that each location has adequate supplies and proper paperwork for the animals at that location.
  • Load the animals chosen for the events into the mobile unit and drive to the event locations.
  • Work with Volunteers to operate Mobile Adoption Events.
  • When there are events occurring at multiple locations, ensure that each location is adequately staffed with trained volunteers.
  • Ensure that potential adopters have a positive and friendly adoption experience.
  • Ensure that applications and adoption paperwork are completed correctly and the adoption contract is reviewed with the adopter.
  • Ensure that Adoption fees are collected.
  • Ensure that cages are cleaned as animals are adopted or as needed.
  • Ensure that animals are transported back to the shelter and placed back into their kennel rooms that have their kennel cards.
  • When you return to the shelter, complete outcome for all adopted animals in Pet Point. This should be completed the same day, or in the event a mobile team returns to the shelter after business hours, complete outcome in Pet Point within 24 hours of event.
  • Create invoices and run cash and or credit card transactions through the adoption register and include in that day’s money.
  • Turn Volunteers Sign in sheets at mobile adoption events to Volunteer Manager.
  • Mail out any paperwork to adopters within 24-48 hours.
  • Report any vehicle problems to Shelter Director.
  • Report any Volunteer problems or situations to Volunteer Manager.
  • Report any animal problems to Adoption Supervisors, Shelter Manager or Shelter Director. Make notes in Pet Point and AVIMARK if these are behavior or medical problems. Medical issues should be reported to the clinic so the animal can be examined as soon as possible.
  • Report any problems with potential adopters or the public to Adoption Supervisor, Shelter Manager or Shelter Director. Make notes in the memo section of Pet Point.
  • All other duties as requested by the Adoption Supervisors, Shelter Manager or Shelter Director.

Qualifications & Skills:

  • Have a minimum High School Diploma or GED.
  • Speak and write fluent English. Spanish as a second language is preferable.
  • Have excellent communication, customer service, and organization skills.
  • Have basic computer entry experience with the ability to learn and use a variety of shelter programs.
  • Ability to multitask, schedule, organize and coordinate mobile adoption events.
  • Have a violation-free Driver’s License and ability to drive the mobile adoption unit.
  • Ability to learn and perform HHS adoption policies and procedures.
  • Ability to learn and process adoptions, complete paperwork, process and balance money/credit cards with end-of-day transactions.
  • Ability to train and oversee volunteers to operate and process adoptions at various event locations.
  • Be able to lift up to 50 lbs. (Over 50lbs requires assistance).
  • Be able and willing to handle a variety of dogs and cats.
  • Ability to learn and perform proper animal handling procedures.
  • Be willing to clean dirty cages and animals if needed.
  • Ability to project professional, friendly, and compassionate behavior when in the presence of the public, volunteers and staff.
  • Ability to work flexible hours.
  • Willing and able to uphold the policies of the Houston Humane Society, educating the public about our programs and services.
  • Must be able to work weekends ( Saturday and Sunday)
