Merchandising Coordinator

The Merchandising Coordinator supports the organization by processing inventory, placing special orders, taking physical inventory, tagging inventory, typing appraisals, etc. The successful candidate will demonstrate the ability to concentrate on the task at hand, perform accurately, and meet productivity goals of the department.

Various activities and tasks are performed in this department, and daily responsibilities may shift from time to time as requested by the Buyers and Director of Merchandising. The ability to work with other members of the department as a functioning team is critical.

Because of the high volume of expensive merchandise flowing through this department, the Merchandise Coordinator must demonstrate a high degree of honesty and trustworthiness at all times.
Essential Functions of the Job:
  • Receive and Process Inventory: Quality check merchandise received against purchase orders. Process inventory receipts, and print and attach the necessary inventory tags. Receive trade-in items and returns, check quality to make sure the merchandise is up to company standards, and establish pricing from appropriate sources.
  • Consigned Inventory: Maintain documents for consigned inventory, report sales and request invoices, follow up, reconcile and communicate with vendors. Return consigned items as needed.
  • Purchase Orders: Enter purchase orders into system, monitor order status and report delays to the Director of Merchandising. Place orders at the direction of the Buyers or Director of Merchandising.
  • Special Orders: Place, enter, monitor, update, and price special orders in a timely manner. Receive, process and prepare special orders for Guest Services to process. Notify Director of Merchandising when discrepancies occur.
  • Vendor Communication: Request quotes from vendors and monitor vendor pricing to identify discrepancies. Correspond with vendors on overdue purchase orders. Work with vendors on repairs and returns.
  • Physical Inventory Counts: Prepare for, perform, and reconcile physical inventory counts according to the corporate schedule and in an accurate and timely manner.
  • Appraisals: Prepare appraisals accurately and on a timely basis for signature by a company gemologist. Research any that need updating.
  • Other duties as assigned
Typical work hours are Monday through Friday 8:30am-5:00pm. Weekends and longer work hours will be expected during events, peak and holiday times.

Requirements:
  • High School Diploma or equivalent required
  • Authorized to work in the United States on a full-time basis
  • College degree preferred
  • Jewelry industry knowledge preferred
Physical Demands:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; climb stairs; use hands to finger, handle or feel; and reach with hands and arms, and some carrying of packages and boxes of inventory (up to 20 pounds). Position also requires sitting for extended periods of time.
