Job description

Temporary position but it is possible full-time hiring at the end of the temporary time frame based on company needs.

POSITION SUMMARY:

The Membership Services is responsible for providing personalized customer service to owners, guests, commercial clients, and service personnel in a professional and timely manner. The Membership Services must be able to perform a wide range of specialized duties. Primary responsibilities will include managing communications initiatives for the ownership and the management team. This will include maintaining distribution lists, creating eBlasts, maintaining the POA's website and electronic information boards, designing print materials, and coordinating events. The Membership Services will also be responsible for managing the N-Touch program, meeting with new owners, managing member services, and overseeing events/meetings related to helping owners get acclimated into the community. The Membership Services works on a wide variety of matters including, but not limited to, working as a liaison between management and the Communications/PR Committee, the Marketing Committee, and the Community Standards Committee. This employee will also conduct property tours no less than three times weekly. Secondary responsibilities will include ensuring that the POA’s quarterly newsletter is completed effectively, as well as managing related internal/external content for the same. The Membership Services must exhibit a high level of organizational competency and have prior experience with social media, marketing, mass communication, and multitasking. The Membership Services must also have exceptional organizational skills, as well as written and oral communication skills.

This employee will also work in conjunction with the Front Office Lead and Administrative Operations Lead in support of the General Manager’s goal to provide comprehensive and professional service to the membership. This position has direct contact with the entire Shipyard membership and is expected to be respectful and resourceful in those interactions. This position also requires a positive and professional working relationship with the management team, board members, contractors, and guests.

ESSENTIAL FUNCTIONS:

· Answers and directs emails/telephone calls to the appropriate person, and provides accurate answers to relevant questions.

· Completes data entry in a timely fashion.

· Greets owners, guests, or contractors and directs them to the appropriate person/office when necessary.

· Maintains a filing system for data entry forms and ensures that they are secure at all times.

· Maintains all POA (except HR) distribution lists for physical and electronic mail/correspondence.

· Ensures that all work areas are maintained as an inviting place for workers and guests.

· Provides relevant literature, forms, etc. to owners/guests.

· In conjunction with the Administrative Operations Lead, manages the conference room/training room, schedules meetings under the direction of the GM, and orders necessary meeting supplies and refreshments.

· Performs all other duties as assigned.

· Must be capable of maintaining high confidentiality standards at all times.

· Excellent customer service skills, including the ability to use sound judgment and discretion while resolving conflict.

· Good communication skills, including the ability to give clear and concise information.

· Excellent interpersonal skills to ensure effective communication with others.

· Ability to work well in emotionally charged situations/during conflict, as diffuse when possible.

· Thorough knowledge of the ARB Guide to Life in Shipyard, the Shipyard Access Policy, POA Covenants, and By-Laws.

· Must be able to work independently.

· Multitasking is a critical and necessary skill.

· Must be proficient in the use of current computer systems, i.e. Microsoft Office.

· Must be able to keep POA forms, documents, or other materials completely confidential at all times.

· Professional appearance is mandatory.

EDUCATION & EXPERIENCE:

· The Membership Services must have a bachelor’s degree in business, hospitality, or related field. Intermediate knowledge of fundamental office procedures, equipment, and basic protocols is required. A background in hospitality or business administration is desirable, but not required.

· Must complete a 90-day probationary period as outlined in the SPOA Employee Manual, and exhibit the ability to meet any goals/objectives set by management.

Job Types: Full-time, Temporary

Pay: $21.00 - $24.00 per hour

Expected hours: 40 per week
