Job description

POSITION SUMMARY:

The Membership & Customer Service Clerk will be responsible for the data entry in the membership database. This position fulfills the record keeping function of membership tracking for the Boys & Girls Club and Camp Ramsbottom. This includes data entry billing and collection, responsibility for data integrity, grant reporting, and follow up with families for additional data needed to complete registration. The Membership & Customer Service Clerk is also responsible for the weekly review of account statuses to ensure families are current on their accounts. A successful Membership & Customer Service Clerk will absorb a large volume of institutional knowledge and have a full understanding of the critical importance of the data they are charged with.

The Boys & Girls Club of Pawtucket is offering a one-time sign on bonus of $250 for qualified Part-Time candidates. This bonus will be paid in two installments and will be subject to payroll taxes. In the event that you separate from company within six months of your date of hire, you will be responsible for reimbursing the company for the entire signing bonus. DUTIES AND RESPONSIBILITIES:

Each of these areas of responsibility is designed to further the organization’s mission of preparing youth for success by inspiring and enabling young people from Pawtucket and surrounding communities, especially those with greatest need, to realize their full potential as healthy, productive, responsible, and caring citizens.

· Assist the Receptionist with all Club and Camp program registration, delivery of Customer Service, as well as day to day Front Desk duties.

· Effectively use technology, membership management system, and information management systems. This may include but is not limited to reports and rosters for enrollment and attendance.

· Maintains contact with staff members, families, and the general public to give and obtain information, either in response to inquiries or, as instructed by supervisor for Club and Camp programs.

· Assist with scholarship applications, securing appropriate authorization before processing. Produce award letters for members receiving scholarship funds.

· Responsible for assisting with all mailings including: assembly and sorting, including but not limited to, printing and mailing weekly statements for current childcare program participants with outstanding balances.

· Suggest new policies and procedures for data collection and management which will enable more accurate and efficient collection of information.

· Regularly review data in Daxko Operations/Accounting to ensure accurate and complete entry of information.

· Track and report on all weekly payments due to ensure accounts are current and take appropriate actions on accounts which fall behind.

· Assist the Director of Finance with financial reporting for all grants.

· Assist the Member Billing & Data Entry Manager with DHS and all other third party billing.

EDUCATION & EXPERIENCE REQUIREMENTS:

· High School Diploma or GED, non-profit experience, and two or more years of relevant experience strongly preferred.

KNOWLEDGE & SKILLS:

· Demonstrated knowledge of principles related to technology, including computer operations, data record keeping, spreadsheets, and queries to create electronic reports with a high degree of accuracy and speed, and strong attention to details.

· Experience with word processing with a high degree of accuracy and clear understanding of good grammar.

· Demonstrated abilities with Microsoft Office software, particularly Word and Excel (including report format knowledge).

· Good organizational skills and ability to prioritize tasks is critical.

Job Type: Part-time

Pay: $17.75 per hour
