Job description

Summary of the Position: Primary Administrative Lead for departmental support of Association Services activities and initiatives. Actively supports operation of Strategic Associations managed by PMMI. Currently those include: The Contract Packaging Association (CPA), The Institute of Packaging Professionals (IoPP), The Organization for Machine Automation and Control (OMAC), The Cold Pressure Council (CPC), and The Foundation for Supply Chain Solutions (F4SS). This position requires understanding, executing and following processes and procedures of daily support services for these Associations. This position expects the individual to work effectively with a team and the Association Directors who are the point of contact with Association Services. The individual should possess solid customer service skills, the ability to manage multiple priorities and projects.
Duties and Responsibilities:
Association Support
  • Work directly with the Association Services Manager, , in support of daily Association business activities and required deliverables.
  • Work cooperatively with Association Services Marketing Director, on communications and PR deliverables.

Membership
  • Learn and understand the operation of the Association Services CRM/AMS tools. Maintain and update membership database(s) in the CRM/AMS
  • Initially assist in the management of membership efforts under the direction of the Director of Association Services including recruitment, retention, and renewals. Track membership and provide regular membership reports as needed or as requested. It will be expected that this individual will be the primary point of contact on all initial membership inquires and issues.
  • Prepare and send out invoices to new and renewing members and provide adequate follow up ensuring the client is properly informed and their membership experience is complete.

General Administration
  • Serve as the primary contact for all client general inquiries, membership/member-related phone calls and email communication, and member-related research.
  • Serve as primary contact for website updates; work with Association Services Web Specialist to troubleshoot all website activities and issues. Responsible for ensuring accuracy and currency of all sections of client's websites.
  • Provide support for events including pre-and on-site registration assistance. May include some travel, evening, and weekend commitments.
  • Work with Accounting Department to process all check requests for accounts payable for approval by client Directors.
  • Work with Accounting Department to manage all deposits received via mail.
  • Assist with events and special projects as requested

Committees
  • Assist chairpersons in scheduling committee meetings and ensure an agenda is prepared and forwarded.
  • Attend and assist client committee meetings via web, phone or in person as required.
  • Share the approved agenda and record minutes, attend and support meetings
  • Assist in coordination of deliverables from committee meetings

Marketing
  • Assist in the production of content and the distribution of association communication tools such as email announcements, bi-weekly newsletter, social media posts as needed as well as the scheduling of special email communication.
  • Other duties as assigned
  • Inter-PMMI departmental coordination:
    • Coordinates work with other PMMI departments as required including:
      • Accounting
      • Meetings
      • Marcom/Graphics - Show and PMMI
      • IT
      • Education and Workforce Development
      • Business Intelligence
      • Trade Show
      • PMMI Media Group (PMG)

Qualifications and Education Requirements:
  • Bachelor's Degree preferred (equivalent experience in an association is a benefit)
  • Can operate in a confidential environment when needed and will be a trusted partner.
  • Applicant must be organized, possess the ability to focus and attentive to detail, diligent, able to multi-task, and prioritize their work effectively without direct supervision.
  • Professional communication skills (written & oral)
  • Have demonstrated the ability to succeed in fast-paced time sensitive work environment
  • Take pride in responding quickly to all inquiries and requests with solid cusotmer servcie skills
  • Proven ability to provide superior customer service even under difficult situations and can operate with integrity
  • Technical proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), general computing skills
  • Canva experience a plus
  • Experience or interest in membership associations, board of directors, and events management a plus
