Job Title:Member Services Clerk (Mailroom)

Labor Grade: 3

Department: Mailroom

FLSA Status: Non-exempt (Local 153)

Salary Range: As established by contract


Summary: Under the supervision of the Manager, Mailroom and Purchasing, provides clerical support regarding member correspondence and serves as a backup for Mailroom activities.

Essential Duties and Responsibilities:

  • Prepares and mails eligibility packages and other correspondence to participants.
  • Types and prepares notes, correspondence and reports. .
  • Makes copies of correspondence or other printed matter, using copying or duplicating machine.
  • Opens, reads, routes/files and prepares incoming/outgoing mail and faxes and other records.
  • Creates and maintains database and spreadsheet files.
  • Compiles and types statistical reports.
  • As a backup, may:
  • Process outgoing UPS through CampusShip program for the Funds.
  • Place daily calls for messenger service pick-up for the Funds.
  • Conduct copy jobs for departments upon request.
  • Conduct special mass mailings, packaging communication materials to members.
  • Pickup and distribution of all interoffice and outgoing mail.
  • Process all outgoing mail through Pitney Bowes mail machine.
  • Separate and distribute all incoming mail.
  • Receive/ log all messenger packages and special mail, i.e. certified, express, UPS, and overnight mail using the Arrival Machine Log system.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Technical Skills:

  1. Ability to prioritize work and meet deadlines.
  2. Ability to prepare memos and correspondence, edit various materials.
  3. Expert knowledge of Microsoft programs including Word, Excel, PowerPoint, Access, and Outlook.
  4. Formatting memos, spreadsheets, reports and presentations.
  5. Ad hoc projects, research as needed.

Interpersonal Skills:

  1. Experience working directly with management personnel and staff.
  2. Detail oriented with excellent organization and communication skills.
  3. Good interpersonal skills and experience working directly with the customers.
  4. Ability to work independently coupled with the ability to work as a member of a fast-paced team.

Education and/or Experience: High School Diploma, GED or equivalent experience.

Language Skills: Speak, read, write and understand English, bi-lingual (Spanish) preferred.

Reasoning Ability: High

1/2 -2/3 of the time actively working in a busy Member Service Call, Walk-in Center or Mailroom, assisting other people and coordinating the paper flow process for the first and second floor.
