Position Summary:
The Meeting Specialist is responsible for planning, coordination and execution of logistics associated with housing and registration for ASA in-person, hybrid, and virtual meetings, including the ANESTHESIOLOGY annual meeting and the ASA ADVANCE: The Anesthesiology Business Event conference. Provide support for the Meeting Manager for Housing and Registration to identify opportunities to enhance the member experience using new and advancing technology for the annual meeting and other meetings while contributing to strategies to assist with increasing revenues and controlling costs.
Primary Position Responsibilities:
• Responsible for the logistical planning and implementation of the registration platform and process for each ASA meeting including ANESTHESIOLOGY and the ASA ADVANCE conference, collaborating with ASA key internal stakeholders on the design and development of registration for each meeting.
• Oversee the implementation of the annual meeting housing program, including development of housing website and registration integration, VIP, staff and vendor housing programs, and hotel rebates and commissions.
• Support the housing program for the ASA ADVANCE conference including VIP, staff, and vendor housing and reservation processes.
• Oversee the annual meeting affiliate/exhibitor event placements.
• Support the ASA travel management program with vendor partner ATC/Deem.
• Serve as the department and organization subject matter expert on registration and housing systems.
• Oversee the ASA hotel rewards programs ensuring ASA hotel rewards are included in all hotel contracts, verifying rewards are received post-event, and manage reward program accounts with the Meeting Manager for Housing and Registration and the Director of Meetings.
• Responsible for coordination of safety and security and temporary staffing at the annual meeting and ASA ADVANCE conference.
• Oversee the meeting ribbons program for both the annual meeting and ADVANCE conference.
Position Qualifications:
• Bachelor's degree in hospitality/meeting management or related field preferred.
• Minimum 3+ years of related experience in meeting planning and logistics, including previous experience with a high volume of public / member interaction. Housing and registration planning and systems utilization a plus.
• Experience working with hybrid and virtual meetings required.
• Association (membership organization) experience preferred.
• Certified Meeting Professional (CMP) and Digital Event Strategist (DES) or similar certifications a plus.
• Involvement and interest in industry organizations (PCMA, MPI, etc.) desired.
• Knowledge in continuing professional education programs including familiarity with CME, PhRMA, and ACCME rules & regulations compliance related to meeting coordination preferred.
• Computer proficiency in Microsoft Office.
• Highly developed interpersonal skills, ability to network, and demonstrated high level of confidence and poise with a strong member service orientation.
• Demonstrated personal integrity in negotiations with vendors and contractors and in communications with members and staff.
• Ability to recommend and implement professional best practices.
