Job description

POSITION PURPOSE: Under the direction of the Business Office Manager, the report coordinator is responsible for maintaining the security, confidentiality, completeness, and accuracy of the medical records in accordance with polices and procedures and within the guidelines of the organization.

KEY RESPONSIBILITIES: To organize, store, maintain patient health information in compliance with HIPAA guidelines and ensure all patients receive dignified, quality health care.

PERFORMANCE STANDARDS:

DEPARTMENTAL RESPONSIBILITIES

Complies with department policies and procedures and suggest changes as necessary as evidenced by:

Attendance and punctuality and all other employee policies are to be adhered to.

Follow OSHA, HIPAA and all other government regulations, policies and laws.

Back up other departments by answering phones, assist front desk as needed with special projects.

Verify that all releases of information take place in accordance with Texas State law governing such releases.

Process all incoming and outgoing medical release forms with thorough documentation.

Ability to prioritize work flow and process urgent items timely and accurately.

Actively participate in the yearly review/revision of the medical records protocols as needed.

Retrieve all faxes, date stamp, separate and distribute to appropriate department.

Keep supervisor informed of problems or issues

Working knowledge of computer systems, copiers, fax machines and scanning technology.

Responsible for scamming and indexing all documents.

Uses appropriate human, financial, and material resources while considering the overall budgetary constraints.

Perform other duties as required.

Achieves quality patient services and satisfaction by maintaining a work environment which is conducive to good patient relations as evidenced by:

Demonstrates a polite, courteous, and friendly manner at all times.

Is capable of managing heavy phone traffic.

Organizational skills are above average.

Medical terminology and knowledge of imaging procedures is current.

Computer literate.

Handles stressful situations with little or no supervision.

REGULATORY COMPLIANCE

Complies with accreditation, corporate, and Center regulations as evidenced by:

Maintains content of the medical records to standards.

Obtains signatures on documents as needed to comply with requirements.

Keeps files up-to-date.

Maintains confidentiality with information that they are privileged to.

PERFORMANCE ENHANCEMENT

These activities are everyone’s responsibility. Actively participates as evidenced by:

Understanding of Center’s Performance Enhancement Program.

Understanding of the performance enhancement process.

Completes Opportunity for Performance Enhancement Form when as opportunity is identified. Makes sure that there is appropriate follow through.

Participates in Performance Enhancement Team Projects as appropriate.

Completes assigned monitors in a timely and accurate manner.

Keeps up-to-date with Center’s Performance Enhancement activities.

SAFETY

Maintains office space in safe condition as indicated by neat work space and secured electrical wiring. Adheres to all facility safety regulations and guidelines regarding patient staff safety as evidenced by:

Attends safety meetings and training as evidenced by attendance.

Identifies, corrects, and reports unsafe conditions immediately.

EMPLOYEE MANAGEMENT

Demonstrates ability to work well alone and asks for direction and clarification as necessary.

Maintain work area in a clean and orderly manner.

Assists in welcoming new employees and helps orient them as requested.

RESOURCE AND INVENTORY MANAGEMENT

Ensures the proper use of resources as evidenced by:

Careful use of supplies to avoid waste.

Reports to the appropriate person when supplies are low.

Keeps accurate records.

Uses appropriate human, financial, and material resources while considering the overall budgetary constraints.

QUALIFICATIONS

Skills, Knowledge, and Abilities:

Ability to effectively manage the special tasks assigned in the position description. Knowledge of computers, multiple phone-line console, and medical and imaging terminology. Is courteous and calm when working with apprehensive patients. Ability to handle multiple tasks and set priorities.

Education/Experience:

High school diploma or equivalent is required. Medical records experience is preferred. Must demonstrate computer knowledge and understand medical terminology. Ability to work well with the front desk personnel and clinical staff

Physical Requirements:

Spends 4 hours per day sitting at desk and/or computer terminal.

Uses telephone often and will encounter a lot of distractions due to need to answer phone.

Reaches, bends, and frequent lifting of up to 20 lbs.

Must be able to hear and speak clearly.
