Job Title:Medical Records Assistant
Department: Health Care
Reports To: Director of Nursing and/or Medical Records Administrator
Supervises: N/A
FLSA Status: Non-Exempt (Hourly Wages)
Job Summary: A Medical Records Assistant assists in maintaining the Medical Records of Health Care residents and completes general clerical tasks as required to maintain an organized and functional department. Responsibilities include but are not limited to copying and filing clinical documentation, faxing and transmitting documents. Completes projects as assigned by the Medical Records Clerk and/or the Director of Nursing.
Performs other appropriate related and unrelated assigned duties.
JOB SPECIFICATIONS
Education: High School Diploma or equivalent; Experience can substitute.
Licensure/Certification: Medical Records Certification preferred
Experience: One year office experience required.

  • Follow safety regulations, reporting injuries or unsafe conditions and work practices to supervisor
  • Follows up as appropriate with supervisor, co-workers or residents regarding reported complaints, problems and concerns
  • Follow acceptable standards of personal hygiene and comply with department dress code
  • Possess a fundamental understanding of sanitation and cleanliness
  • Regular, punctual and dependable attendance
  • Provide assistance to and work directly with staff, residents, family of residents, visitors, government agencies and the general public
DUTIES AND RESPONSIBILITIES
  • Basic clerical and office skills
  • Knowledge of medical terminology
  • Ability to multitask in a fast pace environment
  • Organized and maintain facility Medical Records system in compliance with company, state, and federal regulations
  • Code and quantify records from admission to discharge
  • Maintain a documented, organized system which is readily accessible
  • Prepare reports as requested
  • Act as secretary for designated meetings
  • Assist in resident chart audits quarterly
  • Fully understand all aspects of residents' rights, including the right to be free of restraints and free of abuse. Responsible for promptly reporting to the charge nurse or administrative staff incidents or evidence of resident abuse or violation of residents' rights
  • Assist in maintaining a safe, neat, and clean environment; report environmental deficiencies to the Director of Nursing.
  • Communicate and interact effectively and tactfully with the resident, visitors, families, peers, and supervisors
  • Practice careful, efficient, and no-wasteful use of supplies and linen and follow established charge procedures for resident charge items
  • Support an atmosphere, which promotes a homelike environment
  • Respond to inquiries relating to his/her particular area or to requests from residents, visitors, other personnel, etc. within given time frames and within established policy
  • Assist the immediate supervisor with various administrative tasks to support department operations as directed; may also be assigned special projects
  • Perform tasks which are supportive in nature to the essential functions of the job, but which may be altered or redesigned depending upon individual circumstances
  • Completes requirements for in-service training, acceptable attendance, uniform and dress codes including personal hygiene, and other work duties as assigned
  • Assist in the orientation/training of new staff/employees
  • Seek out opportunities to help rather than waiting to be asked.
  • Assumes responsibility for professional development
  • Demonstrate sound judgment by taking appropriate actions regarding questionable findings or concerns
PHYSICAL DEMANDS
  • Requires extensive physical effort; standing, grasping, balancing, carrying, bending, lifting, stretching, stooping, pulling and pushing
    • Trays 10 lbs.
    • Tools, Equipment, Supplies 20 lbs.
  • Standing frequently during the 8 hour shift
  • Frequent walking, stooping, bending
  • Occasional reaching above the head
