The AWM Medical Education Coordinator is a self-starter aligned with the strategic priorities of the business, who owns the logistics around Medical Education programs and faculty training. The individual is responsible for the planning, organizing, and executing faculty-led Medical Education Events including dinner events and onsite or virtual faculty trainings.
What will you be doing?
- Develop and maintain relationships with contracted HCP faculty members to provide a high level of customer service and consistently positive experience for faculty and the sales representative
- Collaborate with Medical Education Manager (MEM) colleagues in the Americas regarding appropriate faculty selection for events
- Develop standard operating procedures and program management templates for the role to ensure compliance with medical device business practices and efficient execution of > 120 annual programs
- As a "field concierge", interface with the sales force on dinner education program requests, coordinates restaurant selection/reservation and AV equipment, manages contracted HCP activity in the company's KOL management system and books HCP travel
- Track and ensure program spend is within Health Care Compliance (HCC) guidelines and the allocated program budget
- Generate reports: spending, registrant, attendee, polling responses, and Q&A
- Maintain expert-level knowledge of meeting planning policies, procedures, compliance and business practices
- This role is within a team of Medical Education Professionals and the individual works closely with colleagues within the Americas Medical Education teams and Professional Affairs.
- Coordinate and manage faculty travel for Medical Education Events and faculty training
- Responsible for collecting, analyzing, and reporting Medical Educational activities outcomes (surveys) to Medical Education leadership
- Responsible for updating and the promotion of the Medical Education calendars of local franchise activities
- Create event invitations with approved templates
- Manages the venue and menu selection in collaboration with the sales representative for all dinner Education Events
- Ensure all events are conducted at a compliant venue and meal limits are followed
- Communicate with HCP faculty regarding Education Event requirements and travel itineraries
- Acts as the point of contact for sales representatives requesting a program and faculty delivering the content
- Input all Programs/Activities into the company's KOL/HCP management system and ensures proper documentation is included for a timely close-out and payment
- Partner with Professional Affairs to ensure contract & payment compliance
- Organize and support the logistics related to Med Ed dinner courses including registrations, course information and post course evaluation data analysis and reporting (dinner programs and faculty trainings)
- Maintain tracking and status sheets regarding all dinner program events
- Ensure that Medical Education activities are always conducted in a compliant manner by always working closely with the local compliance officer
- Maintain expert-level knowledge in compliance requirements regarding relationships with HCPs. Ensures that all HCP relationships are conducted following the highest ethical standards and in compliance with company regulations and local laws.
- Support the Medical Education Managers with Centris/Engage program and activity inputs and close-outs
- Ad hoc duties: In addition to the above, employees are required to carry out any reasonable request to perform other duties as may be reasonably required within the scope of the job title and to work safely at all times with due regard for health, safety and environmental protection. Stay current, and often ahead of the curve, on event planning, design, and production trends, proactively identifying and solving operational challenges.
What will you need to be successful?
- A minimum of 2-4 years' experience managing events and/or project management, preferably in the medical device industry or healthcare setting
- Previous corporate travel experience and/or event planning experience highly desirable
- Bachelor's Degree preferred
- Experience in working with high-level Healthcare Providers such as physicians, surgeons, nursing leaders and wound care professionals required
- Exposure to wound care and experience with the medical device industry preferred
- Highly organized, detail conscious, and able to prioritize multiple tasks. Highly detail oriented with a critical degree of accuracy regarding event details
- Excellent written and oral communication skills
- Dedication to a high level of customer service: both internal and external
- Proficient in MS Office, including Excel
- A self-starter with strong teamwork and cross-functional collaboration skills
- Travel - Domestic - up to 10%

The anticipated compensation range for this position is 55,000.00 - $63,000.00 USD annually and the compensation offered will depend on the candidate's qualifications. You may also be entitled to receive bonus and benefits, which may include medical, dental, and vision coverage, 401k, tuition reimbursement, medical leave programs, and a variety of wellness offerings.
