The Materials Management Coordinator ensures that all production supplies used by Vivex are received properly, stocked in the proper storage conditions, maintained with adequate par levels, and readily available. Coordinators must remain compliant with all applicable regulations and standards when conducting departmental operations.
Duties and responsibilities
- Performs receipt and release of materials, while following the department’s Standard Operating Procedures and Work Instructions, to ensure that the inspection, documentation (ex. COA, COC, MSDS), labeling, and storage conditions are completed properly.
- Communicates with vendors on retrieving all necessary packing lists, quality documentation (ex. COA, COC, MSDS) and setting up returns as needed.
- Prepares released materials to be stocked in designated location(s). Must accurately document all required data to be inputted in the Inventory system prior to stocking.
- Organizes and wraps pallets in order to safely stock on the pallet racks.
- Logs and delivers all internal packages to the correct recipient in a timely fashion. Assists internal customers in tracking packages when needed.
- Manages inventory to ensure proper FIFO/FEFO stock rotation, timely re-order of supplies, physical inventory/cycle counts, quarantine of expired material, and identification/documentation of obsolete materials is done. Ensures that critical supplies are readily available to meet production requirements.
- Tracks weekly supply needs in order to prepare and create purchase requests for the department on the Vivex purchasing website.
- Compiles data in order to complete proper documentation for all material inventory transfers.
- Receives in all deliveries purchased in the Vivex Purchasing site after receipt and inspection process is complete. Then ensures that all PO’s are reconciled electronically and works closely with the Buyers on any issues with shipments and/or PO’s.
- Works closely with recovery agencies to ensure that recovery supplies are shipped to their appropriate locations in a timely manner.
- Prepares any shipments that need to be shipped via FedEx, FedEx Express, UPS, etc. to any 3rd parties as needed.
- Operates forklift truck and electric pallet jack when necessary.
- Ensures that the Materials Management warehouse and all connected rooms are always kept, organized, and labeled properly.
- Compiles data for inventory counts, usage rates, cost analysis, etc. when needed.
- Assists the Procurement Manager on reviewing procedures as needed for the uniformity and quality of operations. ensuring compliance with all applicable regulations and standards (e.g., FDA, AATB, etc.)
- Assists in training new hires when needed.
- Works effectively to maintain interdepartmental cooperation and a professional work environment. Provides great customer service to all couriers and internal customers when needed.
- Performs other duties as assigned.
- High School diploma or equivalency required.
- Minimum requirements of 2 years Materials/Supply Management, Inventory Control Management and/or Warehouse Management in a relevant field such as Pharmaceutical, Medical Device, Bio Tech, or Hospital.
- Experience with computerized inventory systems preferred.
- Forklift operator certification preferred.
- Strong interpersonal skills necessary.
- Good documentation and organizational skills required including strong attention to detail.
- Strong written, verbal and communication skills necessary.
Working conditions
Majority of the work is performed indoors, standing, and walking throughout the facility. Must have a satisfactory driving record, as driving may be required. Majority of work is conducted in warehouse. Occasional work is conducted in cleanroom environment. Facility temperatures are maintained cool.
Physical requirements
The ability to be able to lift boxes up to, but not limited to, 50 lbs.
The ability to be able to use hand trucks and pallet jacks both manual and automatic.
The ability to drive company vehicle and fork lift as required.
