Location: Eagan, MN (open to hybrid)


The Marketing Tradeshow Coordinator will be responsible for coordinating booth presence, attendance, and logistics for meetings, conferences, and tradeshows for the Commercial Vehicle Group of Safe Fleet. This role will manage the tradeshow schedule, report show spend amounts, advise booth element ordering, organize setup and manage display assets. This role must be comfortable to pay invoices and work with the team to ensure demo assets and marketing materials are kept up to date, in good working order and distributed appropriately.


ESSENTIAL DUTIES & RESPONSIBILITIES

  • Coordinates elements of trade show and event management including ordering exhibiting services, shipping event displays and booth materials, coordinating on-site and off-site logistics, assisting in pre- and post-event communications, and other related support tasks.
  • Track expenses and coordinate the review, approval, and budget process for industry tradeshow attendance and ensure invoices are paid on time.
  • Relay marketing/advertising and press opportunities at conferences/shows.
  • Communicate directly with responsible business units and develop the most effective booth presence. Then, design a space that will properly demonstrate this message. This may include working with our vendor to build booth displays.
  • Advise on the booth space, services needed (booth space, equipment, electricity, carpeting etc.) and ensure they are ordered and paid for in advance. Track shipments of booth assets and equipment to and from shows.
  • Maintain the process of ordering and event logistics amongst the sales team members and keep training materials up to date.
  • Maintain, track and order an appropriate inventory of promotional items, printed collateral, and conference materials; participate in annual SWAG inventory.
  • Maintain the marketing storage areas held within the Eagan facility.
  • Help maintain the Safe Fleet Corporate apparel and literature ordering sites.
  • Maintain the catalog of Safe Fleet booth demo assets with our off-location warehouse facility. Could include an annual visit to the warehouse to QC. Coordinate any needed repairs with warehouse team or specific sub-brand product specialists.
  • Communicate pre-event, at-event, and post-event marketing plans to the sales teams as well as any product development, marketing, and sales teams to drive attendance. This could include print, social, or digital means.
  • Other marketing support as needed.


REQUIRED EDUCATION, EXPERIENCE & SKILLS

  • Bachelor’s degree, preferably in Marketing and/or Communications (or) Minimum 5 years’ experience in event planning and logistics
  • Knowledge and experience in owning the intricate details needed to make a trade show successful, including booth design, marketing communication, contract management, creative development, activation, and lead management.
  • Independent work ethic and great time management skills.
  • Excellent organizational and analytical skills, detail oriented
  • Strong collaboration and problem-solving skills
  • Ability to quickly pivot and meet deadlines.
  • Strong written and verbal communication skills
  • Proficient in Microsoft Teams, Planner and Excel
  • Salesforce experience preferred.
  • Ability to juggle multiple projects and priorities.
  • Availability to travel across US/Canada as need be (10-20%)
