Job Summary: The Manager, Scheduling Templates builds, maintains, and updates provider Scheduling Templates in accordance with Saint Francis Health System (SFHS) and Epic best practices. This role leads a team of analysts to perform in-depth analysis of template management workflows and auditing to support the governance of template features across Warren Clinic and Central Scheduling locations.
Minimum Education: High School Diploma or GED. Bachelor's degree, preferred.
Licensure, Registration and/or Certification: Epic Cadence certification within 6 months of hire.
Work Experience: Minimum 3 years of related experience. Scheduling leadership experience within a healthcare environment, preferred.
Knowledge, Skills, and Abilities: Knowledge in scheduling and provider templates and/or referrals and prior authorizations. Effective written, oral, and interpersonal communication skills. Must be detail-oriented and possess excellent analytical and organizational skills. Proficiency working with Microsoft Office and Epic scheduling applications. Ability to communicate both verbally and written with diverse audiences at all levels of the organization. Ability to work daily with confidential information with discretion and professionalism. Ability to work independently and collaboratively in a fast-paced environment, managing multiple priorities with competing deadlines. Proven ability to proactively lead and develop team to reach project goals and objectives.
Essential Functions and Responsibilities: Analyzes, designs, implements, maintains, audits, and optimizes provider and resource Scheduling Templates in Epic. Manages provider and resource template availability and utilization across all Warren Clinic and Central Scheduling locations. Provides accurate and timely information, reporting, analytics, and decision support in relation to enterprise scheduling efficacy, capacity, clinical effort, and supply/demand. Facilitates and triages the priority of template change requests to determine the impact on standard workflows, decision trees, organizational standards, or system configuration. Manages tracking and evaluation of referral and appointment demand relative to capacity and slot availability to identify areas with limited access. Collaborates with leadership regarding recommendations and potential solutions to areas or providers with limited availability. Identifies potential system enhancement needs and introduces best practice options for future state workflows and processes. Establishes service level agreements with clinical department leaders and ensures those expectations are met. Serves as a liaison between clinical staff, administrative teams, and IT departments, ensuring effective communication and alignment of Epic-related initiatives with organizational goals. Leads application analyst team on deliverables, deadlines and communication with leadership and operational stakeholders.
Decision Making: The carrying out of non-routine procedures under constantly changing conditions, in conformance with general instructions from a supervisor.
Working Relationships: Direct supervision of others. Prepares and gives performance evaluations. Works with internal and/or external customers via telephone or face to face interaction. Works with other healthcare professionals and staff. Works frequently with individuals at Director level and above.
