Job description

Provides leadership and direction for the Memorial Learning Center and other educational spaces across the health system to ensure the development of the capabilities and capacities of the healthcare workforce to meet current and future demands. Provide leadership to support the operational needs of the Transformation Division to maximize efficiency, effectiveness, and return on investment of all departments within the division. Embodies the Memorial Health System values of Safety, Integrity, Quality and Stewardship that support our mission and vision.

 


Education:

  • Bachelor’s degree in education, healthcare administration, project management, business operations, communication, or related field required.
  • Master’s degree in education, healthcare administration, project management, business operations, communication, or related field preferred.

 

Licensure/Certification/Registry:

  • Project Management Professional preferred.
  • Lean Six Sigma Greet Belt preferred.

 

Experience:

  • Minimum one year of experience in a supervisory position, with experience in project coordination, team development, triaging of work responsibilities, expectation setting, and accountability.
  • Minimum two years’ experience leading small and large-scale projects.
  • Minimum three years’ experience with various technology applications.

  1. Build and maintain a cohesive team. Provides leadership, direction and operational support for all assigned colleagues including; onboarding of new colleagues, monthly updates, triaging of work, appropriate staffing levels, expectations setting, resource allocation and follow through of assignments. Interprets polices, objectives and operational procedures and represents them in a positive manner.
  2. Coaches and develops colleagues to their fullest potential, providing educational and developmental opportunities as needed. Equips colleagues to fully utilize the time, talent, technology, and resources available to them to ensure maximum effectiveness and efficiency. Annually evaluates the performance of colleagues.
  3. Provides leadership for the Memorial Learning Center and other educational facilities throughout the organization. Ensures understanding and utilization of the MLC across the organization and in the community to help meet current and future workforce demands, and support the strategies and business goals of the health system. Responsible for partnering with SVP/CTO to set long-term strategy to ensure innovative and effective learning programs grounded in adult learning theory.
  4. In partnership with MLC Coordinators, ensures MLC is operational and appropriately staffed with an effective system for scheduling, setup, utilization, and tear down. Identifies problems, evaluates issues, establishes facts, draws conclusions, and implements solutions. Ensures staff interact with MLC Ambassadors and customers to resolve maintenance problems, scheduling issues, technology solutions, and communication needs. Ensures execution of service level agreements with internal and external partners to ensure operational excellence of the MLC. Adjust based on feedback and needs.
  5. Develop and enhance relationships with internal and external stakeholders, including but not limited to universities, school systems, government entities and key business partners to further enhance the utilization of the MLC. Determines appropriate use of MLC space, including allocation of offices, workstations, classroom and collaboration spaces, and provides leadership to team to coordinate associated moves within facility as well as small to mid-size projects and renovations, in partnership with Facilities and IS Divisions. Researches and evaluates operational needs to determine when new services and/or technology are needed, to include staffing, capital and operating requirements.
  6. Provides leadership to ensure continual evaluation of the effectiveness of all programs, offerings and services provided by the Learning Center team; guides team to understand feedback, data and utilization to make continuous improvement and adjustments as appropriate to ensure services remain relevant and effective for the organization. Provides consistent reporting and analysis of metrics to SVP and CTO to ensure understanding of utilization, impact, and return on investment of MLC.
  7. Oversees technology optimization by ensuring usage and maintenance of the equipment, and technical support for audiovisual hardware, software, and static and digital signage. Provide strategic and operational insight for the LRS/CIS and MLC partnership, and all technology systems used within the Transformation Division, including shared drives, learning management system, MLC specific software, supplemental software, and software memberships for resources. Provides leadership to guarantee security and integrity of all data within Transformation division by overseeing provisioning of access to various systems.
  8. Develops and manages projects in support of efficient and effective operations of the MLC and the Transformation Division. Exercises good project management discipline and rigor in managing tasks, deliverables and needed resources. Ensures that all projects or programs are appropriately documented, planned, controlled, communicated and executed. Completes projects within prescribed timeline and budget.  Ensures all scope changes are evaluated, communicated and approved by the appropriate parties prior to implementation. Evaluates implementations and makes adjustments accordingly.
  9. Supports the SVP and CTO in the coordination of division-wide work plans and communications including but not limited to quarterly division meetings, division onboarding for new colleagues, annual goal development and monitoring process, and annual reviews of programs and policies. Coordinates and monitors key work processes that help the division operate efficiently and effectively. Develops and implements division policies and procedures designed to meet key customer requirements consistently and appropriately. Recommends research-based adjustments when needed.
  10. Partners with division leaders to ensure measurement of key metrics to populate dashboards. Provide operational oversight for utilization of return on investment metrics for division services, both ad hoc and scheduled. Ensures use of appropriate metrics and evaluations, compiles data, develops reports and analyzes results to understand utilization, impact, and partners with leaders to research and documents the effectiveness of efforts and implements changes to continually improve outcomes and services offered. Performs quality control analysis on data collection to ensure accuracy. Ensures utilization of baseline indicators, industry best practice benchmarks and action plans for achieving benchmark level performance within established time lines.
  11. Serves as coordinator for MLC and Transformation Division content on Memorial Central and Workplace to ensure accurate and timely information is available. Responsible for design and creation, as well as ongoing maintenance and enhancements.   Ensures continuous updating and improvement to effectively brand and promote Transformation Division services to the organization.  Collaborates with Marketing department to ensure accurate and engaging content on MLC pages on Memorial’s website. Oversees effective layout and utilization of various shared drives, ensuring appropriate access, updating, and archiving as needed.
  12. Serves as coordination for development and implementation of annual marketing plan to promote the services available through the Transformation Division. Partners with assigned Communications Consultant to implement communication and ensure MH branding as needed.  Provides oversight of content development of MLC social media profiles. Responsible for dissemination of marketing materials to effectively brand and promote various programs, to include but not limited to development opportunities for leaders and colleagues, course catalogs, conference promotion, and increasing promotion/awareness of significant events within the MLC.
  13. In cooperation with SVP and CTO, direct the preparation of annual operating and capital budgets for the Transformation Division in partnership with Leadership Team through forecasting process. Develops and executes systematic approach for requesting expenditures, approving expenses, executing on orders and invoices, reconciling monthly budgets across the division, and working with leaders regarding any issues. Responsible for executing on monthly rollup report reconciliation, and providing recommendations for adjustments to capital and operating expenditures. Represents division on SOF efforts as needed, and oversees system for tracking and reporting SOF savings within the Division.
  14. Responsible for making decisions regarding expenditures and approving expenses for Learning Center. Maintains effective budgetary controls on matters of staffing, expenses, and equipment expenditures; ensures cost effective operational measures; and monitors the effectiveness of programs and services. Responsible for assessing opportunities for utilization of Foundation funds within various earmarked accounts, and maintaining accurate and timely reporting of available funds. 
  15. Determines key vendor partners and contracts needed for successful operations of the MLC and the Transformation Division. Maintain contracts within MHS contract management system. Follows health system policies related to contract management.  Responsible for vendor contract negotiations, tracking, cataloging, and invoice management and oversight, and maintenance of vendor contracts and professional service fees related to the MLC.  Monitors agreements to ensure vendor service levels are consistently achieved. Oversees timely preparation, dissemination, review and execution of Transformation Division contracts according to MH policies.  Represents the Transformation Division on the Contract Services Value Analysis Steering Committee as needed. 
  16. Partners with Transformation Division leaders to gather community benefit data and completes accurate and timely community benefit reports on a monthly basis. Represents division on community benefit committee.
  17. Serves as coordinator, in partnership with Transformation Division leaders, to ensure accurate and timely recordkeeping related to workforce management systems through oversight and approval of division scheduling and payroll approval. Responsible for monitoring division productivity and FTE utilization, establishing and maintaining verification systems for workload and outputs, and bringing opportunities to leaders for resolution.
  18. Provides operational leadership in support of various applications to validate, recognize, and improve the efforts of the Transformation Division, including but not limited to Learning Elite, NCHL BOLD, and Association of Talent Development. Identify and propose additional opportunities for recognition, best practice sharing, networking, and cycles of improvement through meaningful feedback.  Responsible for coordinating Transformation Division grant applications and grant utilization funds tracking and annual reporting to relevant Foundations. 
  19. Serves as a member of the Transformation Division Leadership Team. Participates in the development of the Transformation Division annual goals and tactics. Translates the strategic tactics into operational plans. Monitors the status and removes barriers in support of colleague and department goal achievement. Serve as a thought partner and committed resource to ensure that MH is able to develop the capabilities and capacities of our healthcare workforce to meet current and future business demands and promotes a culture of continuous learning and improvement to support the strategies and goals of Memorial Health System.
