Job Summary and Qualifications

As the Manager of Benefits Operations you will direct the relationship with one of the two largest Benefits vendors. This includes management and oversight of the current retirement vendor’s outsourced platform for all services related to Savings & Retirement Benefits for approximately 250,000 401(k) participants and account holders. 

Your responsibilities will include:

  • Developing, communicating and implementing an enrollment schedule for the entire HCA Healthcare enterprise and other lines of business
  • Developing content for local HR communications regarding enrollment dates, including any plan changes for the new year
  • Delegating other enrollment activities to members of the team as needed
  • Developing/leading on site or virtual/web based training sessions for HR and vendor’s customer service representatives
  • Establish service level expectations and reinforce performance measurement criteria
  • Oversee all training initiatives for changes, mandatory or optional, which affect the retirement plans
  • Create a “partnership” atmosphere with all outsourced vendors and their accounts teams
  • Daily liaison between the 401k vendor, Lawson, GHR, Customer Support, HRIS, HROC, Payroll, Development and other internal partners as needed for purposes of technology, process improvements and implementations related to delivery of benefits
  • Initiate process/procedural improvements between retirement vendor and other affected internal partners and ensure timely and accurate completion
  • Monitor all security protocol and direct enhancements to provide additional security measures
  • Provide guidance on year-end process to ensure compliance with all regulations
  • Work closely with Labor Relations and other department leadership to monitor union activity and mergers, acquisitions and divestitures as they relate to eligibility of all retirement plans
  • Oversee the implementation of any special match formulas in the retirement plans to ensure correct programming
  • Follow current legislation and work with the Compliance Coordinator to identify mandatory changes that will affect the retirement plans and work in partnership with ERISA counsel to evaluate optional changes 
  • Communicate all changes to the Benefit Analyst and provide oversight and guidance in vendor implementation of changes
  • Collaborate with the Benefits compliance team on the annual match audit and required compliance communications, filings and testing to ensure continued compliance
  • Supervise the Benefit Analyst in researching years of service claims and general retirement appeals
  • Work with the Director, Benefits Operations to understand and prioritize special projects and align available resources appropriately

What qualifications you will need:
  • Bachelors Degree is required
  •  5+ years of experience in benefits administration is required
  • Customer oriented – establish credibility and trust with internal and external partners such as vendors, other departments and facility leadership etc. is preferred
  • Call center experience helpful, great customer service skills are preferred
