OVERVIEW:

The Goodwill Industries International (GII) Human Resources team is seeking a Benefits Manager to champion the design, implementation, administration, and evaluation of GII benefits programs (including physical and mental wellness initiatives).

The role partners with Finance and HR to develop and maintain benefits policies and procedures and work with vendors to ensure GII team members receive competitive benefits at the most competitive price.

The role may also perform tasks associated with HR; including but not limited to special projects, invoices, HRIS/recordkeeping, onboarding, and employee engagement activities. Ready to help others reach their full potential? Keep reading and apply today!

ESSENTIAL DUTIES:

Health/Wellness and Financial Benefits Management

o Enhance team members’ experience through their understanding of employee health, wellness, and retirement plans for GII headquarters team members. Benefit programs include medical/vision/dental/ plans, disability plans, life/accident insurance plans, wellness programs and all supplemental benefit plans.

o Assist Finance in the administration of the 403(b)-retirement plan.

o Use expertise to initiate approved new plans or changes to existing plans by preparing communication materials, plan summary documents and other interventions for team members.

o Lead the annual open enrollment process. Distribute materials from carriers, communicate changes to employees and arrange on-site representation by providers.

o Provide counsel via groups and one-to-one meetings to provide additional support to team members as they enroll in their annual elections.

o Maintain benefit records by developing recordkeeping systems; initiating new hire benefits; recording changes and processing required documents for Payroll and the respective insurance providers to ensure accurate recordkeeping, proper payroll deductions, and timely payment for services.

o Design, source and implement cost effective resources and activities to support team member wellness goals, including but not limited to communications, workshops, seminars, events, and other wellness engagement activities.

Compliance

o Maintain awareness of existing and new/upcoming federal, state, and local legislation occurring across the US.

o Affordable Care Act: Track and designate team member ACA status in ADP to ensure accurate reporting. Distribute Form 1095-C to each benefit eligible team member. File Forms 1095-C with the IRS for each benefit eligible team member, along with Form 1094-C.

o Risk renewal support: Provide various supporting reports and documents to the Finance team when they are completing risk renewals.

o EEOC: Complete EEO-1 survey providing employment data categorized by ethnicity, race, gender, and job category.

o Prepare and file required reports and logs for compliance with employment legislation and/or regulations.

o Act as liaison through the H1-B Visa process between team members, leadership, and outside immigration counsel to complete necessary submission to the Department of Homeland Security.

o Complete verifications of benefit coverage.

o Comply with HIPAA requirements and other applicable regulations.

ADA/ Leave Administration/Consultation

o Serve as subject matter expert for all Family Medical Leave, personal leave of absence programs, and accommodations under ADA.

o Respond to employee inquiries by providing information regarding FMLA/LOA policies and applicable legal requirements.

o Consult with employees regarding leave process and implications (including but not limited to pay, benefits, rights, and responsibilities).

o Educate managers on their responsibilities for tracking and approving leave for direct reports.

o Resolve employee questions and concerns by interpreting benefit policies and procedures; handle employee inquiries, acting as liaison between employees and insurance providers to resolve benefit related problems.

o Administer requests for ADA accommodations. Collaborate with Building Services to ensure appropriate accommodations are implemented.

Vendor Management

o Work with GII external partners and brokers to streamline and or introduce offerings that improve employee overall well-being.

o Process and reconcile billing statements; resolve discrepancies between billing sources, payroll, and the Company.

o Manage vendor relationships with third party administrators.

o Lead the request for proposal (RFP) process as needed. Draft RFPs, solicit insurance company quotations and create vendor scorecards to identify and select new brokers and health and wellness vendors.

Data and Recommendations

o Work with HRVP to provide data to ensure adherence to requirements and advise management on implications and path forward.

o Support management decision-making by researching and analyzing information related to benefit programs, current trends in utilization, and predicting future costs.

o Develop a cadence to benchmark and evaluate employee needs to formulate new approaches where needed, recommend modifications, new benefit programs, and inform leadership of trends.

HR Administration

o Demonstrate alignment with GII’s values to ensure positive team relationships.

o Maintain HR records to ensure accuracy of employee records of job title, reporting relationship, salary, and other demographic data.

o Conduct annual demographic audit to ensure records to accurate.

o Run monthly and ad hoc reports to compile reports from database as needed.

o Prepare and file required reports and logs for compliance with employment legislation and/or regulations.

o Assist in the development and implementation of personnel policies and procedures, departmental and HR systems.

o Participate in administrative staff meetings and attends other meetings and seminars as necessary/appropriate.

o Performs other related duties as assigned.


RELATIONSHIPS:

  • Internal: Frequent contact with HR, Finance, and GII team members as needed to ensure accurate handling of daily activities, benefits, and related projects.
  • External: Frequent contact with external parties such as brokers, insurance providers, vendors, and professional resource/networking groups.


SKILLS AND CERTIFICATIONS:

  • Knowledge of employment and labor laws, including but not limited to EEO/AA, FLSA, FMLA and ADA.
  • Proficient in the use of Microsoft Office Suite
  • Working knowledge of ADP
  • Strong management of department priorities, projects, and daily activities.
  • Ability to maintain superior confidentiality, credibility, and discretion.
  • Ability to act as concierge and confidant, assisting colleagues and vendors to resolve organizational and individual challenges.
  • Ability to communicate effectively, both orally and in writing.
  • PHR, SHRM, or IFEBP certifications are desirable but not required.


QUALIFICATIONS:
Bachelor’s degree in human resources or equivalent discipline required

EXPERIENCE: Seven or more years previous experience in administration of benefit and retirement plans; previous experience with RFPs preferred

DECISION MAKING: Ability to make effective, logical decisions related to assignment priorities in an independent fashion.

SUPERVISION: Appropriate and reasonable latitude is given to this role in carrying out work assignments. Works under general supervision.
