Maintenance Administration Coordinator-Anchorage Rail

Our Maintenance Administration Coordinator plays a pivotal role within the Rail team. You will ensure that essential parts are in stock, our rail car fleet preventive maintenance is tracked and scheduled. You will also be responsible for ensuring timely and accurate accounting processes within the department that include processing payments to vendors and performing month end accounting processes. 

Responsibilities:

  • Manage division's RTA Fleet management system.  The RTA program is a specially designed computer program that tracks purchasing of inventory, parts, fuel, and provides vehicle maintenance tracking, preventive maintenance scheduling, and employee productivity analysis.
  • Monitors critical parts inventory levels and reorders to established parameters, routinely counts inventory to ensure accuracy in RTA.
  • Maintains accurate physical inventory of division's shop supplies. 
  • Creates work orders and purchase orders. 
  • Tracks departmental spending, codes Visa transactions, and processes invoices in a timely manner. 
  • Prepare end of month reporting for accounting team 
  • Receive, count, and inspect shipments to ensure accurate quantity and quality is received
  • Prepares return shipments and transfers to other locations 
  • Track, schedule, and coordinate all preventative maintenance of our assets.
  • Maintains maintenance vehicle records files.
  • Tracks & schedules fuel delivery and records mileage in RTA. 
  • Performs clerical and maintenance duties required by departmental supervision.
  • Review and ensure that written specifications for supplies, materials, and equipment conform to good and accepted purchasing practices and to industry standards.
  • Answers calls from employees, management, and customers to respond to inquiries.
  • Maintain the equipment parts room in a clean and orderly fashion and in accordance with standard accepted warehouse procedures.
  • Maintain records, memos, letters, and related documentation on hazardous materials.

Requirements:

  • Proficient in the use of computer business applications including Microsoft Outlook and Excel and a working knowledge of computerized inventory systems.
  • Current, valid driver's license that has been held for at least the last three years with a driving record that meets our company safe driving requirement. A Motor Vehicle Report (MVR) will be requested.
  • The ability to become a fork-lift operator. (Training available through company sponsored training.)
  • Must pass a pre-employment background check.
  • Dedicated to delivering excellent customer service to all guests, coworkers, and vendors.
  • Must be eligible to work in the United States. Holland America-Princess is unable to sponsor or take over sponsorship of employment visas at this time (e.g., H-2B status).

  • Ability to organize and prioritize work, maintain attention to time constraints, while working in a team or group environment. 
  • Ability to work in a fast-paced environment with multiple tasks and external influences. 
  • Ability to work independently with minimal supervision while achieving daily goals.
  • Ability to clearly communicate, verbally and in writing, with all levels of employees and management.
  • Ability to lift 50 pounds.
  • Ability to stand for long periods of time.
  • Ability to support and comply with company policies, procedures and guidelines including support and comply with company health and safety standards.
