Overview

This position is Monday-Friday from 9am-5pm and every other Saturday for five hours. This position is also eligible for a Weekend Shift Differential.

Responsibilities
  • Responsible for the timely and accurate daily sorting and distribution of incoming mail and posting of outgoing mail for Institute departments in accordance with postal rates and regulations.
  • Mail includes interoffice mail between DFCI and LMA and Partners institutions, incoming mail from post office, and posting outgoing mail, including overnight, priority, certified, registered and international mail.
  • Operates postage machine for outgoing daily mail and large mailings; replenishes postage meter as needed; runs monthly reports of accounts utilizing mail machine software.
  • Keeps postage equipment in good working order and coordinates repairs with service vendor.
  • Posts large mailings for DFCI departments in a timely and cost-effective manner, resolving questions and problems with department coordinators and maintaining accurate log of department postage costs for large mailers utilizing postage equipment software.
  • Maintains inventory of supplies for mailroom and mail machine.
  • Maintains log of tracking numbers for certified, registered, overnight, and priority mail deliveries.
  • Maintains an orderly mail room and sorting areas.
  • Organizes mail slots and works with General Services to assign new mail stops when departments move their offices/labs.
  • Works with General Services to reduce mail for terminated employees.
  • Assists DFCI employees who call or come to the mailroom.
  • Responsible for driving a DFCI vehicle to the post office in order to mail certified, registered, priority, overnight, and international mail for DFCI departments; when USPS morning delivery is delayed which will result in delays sorting and distributing daily mail, mail person will use DFCI vehicle to pick up USPS mail.
Qualifications
  • High School diploma or GED required.
  • One-year of experience in a customer service setting required.
  • Must possess and maintain a valid driver's license along with a good driving record.
  • Previous experience in a mail room setting with knowledge to operate postage machines, fax machines, and familiarity with USPS postal rates and regulations is helpful.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Computer skills, including basic knowledge of Microsoft Outlook email system, DFCI Intranet online directory look-up, and internet familiarity to utilize USPS web site regarding postal regulations and online directories for LMA institutions.
  • Excellent customer service and communication skills (oral and written); will interact with employees at all levels and vendors, both in person and on the telephone.
  • Excellent organizational and problem-solving skills to meet deadlines.
  • Must be detail oriented with ability to multitask.
  • Proven ability to work with a minimum of supervision.
  • Must be a strong team player.
  • Must be energetic, professional, courteous, and reliable.

CONTACT WITH OTHERS: Interacts daily with all levels of staff throughout DFCI, USPS staff, mail room staff at area institutions, and postage machine vendor and supply vendors.
