Job description

Full-Time

: Reporting to the Director of Residence Life, the Manager of Campus Postal Services performs a variety of complex, responsible, and confidential mailroom and mail distribution duties for the College; performs related duties. This position requires utmost concern for customer service and the ability to work independently, exercise sound judgment, and assume initiative.

Essential Functions

1. Sets and enforces campus postal service policies.

2. Manages the Campus Postal Center. Staffs the customer service window during posted hours (normally 9:00 am – 4:00 pm), distributing packages, selling stamps, and receiving outgoing mail.

3. Acts as liaison with vendor(s) to ensure that mailroom vending machines are properly stocked, operated, and maintained.

4. Picks up U.S. Postal Service mail daily from the station, sorts and distributes to campus mailboxes located at the campus postal center in a timely fashion, Monday through Friday, including Winter Break.

5. Collects outgoing mail that cannot be placed in the on-campus USPS mailboxes at customer service window and processes it with DMS.

6. Keeps abreast of current postal trends and all procedures related to USPS postal policies.

7. Maintains student and faculty/staff mailboxes. Assigns boxes, generates box number lists, and distributes list to the College community, as needed.

8. Notifies students of parcels and other delivered items (i.e. floral deliveries) on his/her behalf, and distributes the deliveries during posted hours.

9. Forwards mail according to established policies for graduated seniors.

10. Notifies students of all postal service policies and procedures, including correct “mail forwarding” procedures for absences during summer break or upon graduation.

11. Distributes mailbox keys and/or combinations to incoming residential students.

12. Maintains key inventory for residential building keys.

13. Assumes responsibility for filling orders for mailbox or residential room key replacements and processing any associated billing.

14. Assumes the responsibility of creating new combinations for mailboxes that become vacant or for lost/forgotten combinations and ensures all mailboxes are in good working repair.

15. Orders and sells U.S. postage stamps and processes deposits for monies collected from sales.

16. Supervises and evaluates student workers.

Marginal Functions

1. Assists groups with mass mailings of student boxes.

2. Makes signs, posters, or other media to communicate with constituents.

3. Ability to interpret and apply United States Postal regulations covering special delivery, certified, insured, and registered mail and parcel post.

4. Ability to use judgment and initiative in applying knowledge of methods and procedures involved in receiving, recording, processing, storing, and issuing supplies and mail, including fundamental record keeping.

5. Ability to set work priorities and organize work schedules.

6. Knowledge of and ability to supervise and conduct staff evaluations; ability to train and motivate staff and student workers

7. Knowledge of or ability to learn quickly basic computer skills at a level to perform the essential tasks and duties of the position, including Excel, Microsoft Word, and campus e-mail applications.

8. Ability to perform basic mathematical calculations at the level required for successful job performance. Ability to manage a cash drawer and budget.

9. Knowledge of and ability to follow general safety standards inside and outside the mailroom.

10. Ability to operate office equipment, such as copier.

11. Ability to operate a motorized delivery vehicle.

12. Must be able to carry and/or transport items up to 50 pounds.

13. Must be able to access all campus offices and walk on a daily basis.

14. Ability to understand and carry out oral and written instructions, including reading and writing.

15. Knowledge of correct English usage.

16. Ability to work weekend hours, as needed.

Education: Typical qualifications would be equivalent to completion of the twelfth grade. Associates’ degree preferred.

Experience: One to three years of storekeeping or mailroom experience with one year of supervisory experience required.

Licenses: Possession of a valid Alabama motor vehicle operator's license and approval from the College’s insurance provider.
