Overall Summary:

The Mail Planning and Logistics Analyst I organizes, reports, monitors and troubleshoots USPS data on IWCO mailings across the enterprise. They ensure that client and USPS requirements for accuracy, rates claimed, and delivery expected are met.

Primary Duties/Responsibilities:

  • Reconcile weekly freight billing cycle with Transportation/Logistics partner.
  • Plan client specific mail plans and consult with sales support to provide options to achieve client goals.
  • Provide sales with postal analysis for existing and prospective clients.
  • Support destination management process to keep jobs moving through CD process via email, telephone, and system reporting.
  • Support in-check and shipping movement for outsource lettershop providers; coordinate freight for Transportation/logistics partner.
  • Provide logistics support with transit, truck capacity, and delivery timing to scheduling to assist with decision making.
  • Coordinate with Transportation/Logistics partner to minimize the need for expedited transportation.
  • Support custom client reporting needs through modification via Excel for accuracy and formatting.
  • Monitor accuracy of pallet date management changes to make sure default dates do not override.
  • Coordinate daily activities across the platform; develop proactive daily mail quality, tracking and delivery performance reporting measures.
  • Master the reporting capabilities of all available internal and external delivery performance tracking tools (i.e. PostalOne! GrayHair SelectTrak, MAIB Logistics tracking, LSC, King VIP, ALG, etc.).
  • Monitor and ensure all Platform jobs complete delivery per scheduled plan to ensure proper operation of systems and uninterrupted billing.
  • Support training for Customer Service, Mail Acceptance, Logistics, and Commingle Department.
  • Review and evaluate all available internal reporting tools used to manage and monitor job level performance across the platform; ensure reporting accuracy.
  • Provide IT written documentation on system, software, and data quality issues. Conduct follow-up until resolution is achieved.
  • Submit report ideas for measurement and continuous improvement monitoring.
  • Assist with the planning necessary in order to meet Critical Acceptance Times (CATs) and Critical Entry Times (CETs) to meet expected in-home windows.
  • Participate as directed in Sales support for clients that may consist of participating in facility tours, client presentations, conference calls, webinars, etc.
  • Provide input n reporting and system requirements to improve efficiency and alleviate client concerns.
  • Assist in managing information and reports to purge outdated information; compile platform and USPS Entry Point specific trend data.
  • Prepare and summarize all Platform-wide mailing performance statistics that are shared with leadership monthly.
  • Assist in the development and application of new policies and procedures.
  • Perform other (or other related) duties as applicable or assigned.

Required Skills/Abilities/Competencies:

  • Excellent interpersonal, communication, and negotiation skills.
  • Ability to organize and manage multiple priorities and balance changing client and company needs.
  • Microsoft Office Suite proficiency, especially Excel.

Education and Experience:

  • Business or related degree preferred; technical disciplines a plus.
  • 3+ years’ Postal Services experience in the direct mail, lettershop, print, and/or fulfillment industry.

Physical Requirements:

  • Ability to work 8 hours consecutively.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to travel as needed.
