Purpose
The Mail Center Manager reports to the COO and is responsible for coordinating and preparing regulatory and daily mailings. The MCM oversees all daily tasks which include opening, scanning, and distributing incoming mail, document filing, outgoing mail and remote bank deposits. The successful candidate will be professional, responsible and reliable; we are seeking a self-starter, who is detail-oriented, has great customer service skills and the ability to lead a team.
Essential job functions:
- Filing, data entry, and document scanning.
- Operate mailroom machinery including postage metering, printers, scanners, file folder, and others.
- Maintains and develops records for billing, inventory, mailing, and parcel shipping.
- Orders materials and supplies for all Bellingham offices.
- Oversees and maintains Mail Center budget.
- Negotiates maintenance and new purchase contracts for machinery.
- Oversee the day-to-day workflow of the department including job assignments.
- Conduct performance evaluations that are timely and constructive.
Knowledge, Skills, and Abilities:
- Excellent accuracy and attention to detail.
- Managerial skills.
- Understanding of U.S. postal regulations.
- Ability to use or learn to use Mail Center equipment and software.
- Strong MS Word and Excel skills, familiarity with Apple computers is a plus.
- Ability to lift 50 pounds.
- Ability to perform multiple tasks simultaneously, working closely with others as part of a team, and tedious or exacting work.
- A current Washington State Driver’s License.
- Candidates must be able to successfully complete pre-employment screening requirements such as a logic test, fingerprints, criminal background and credit check, drug screening and reference check.
Education and Experience:
- At least two years of related experience, or equivalent combination of training, education, and experience to provide necessary knowledge and abilities.
- Obtain required FINRA SIE, Series 7, and Series 63 licenses within the first nine months of employment
Physical Demands:
- Must be able to stand or sit in a stationary position up to 80% of the time
- Requires both gross and fine motor skills; Must be able to use computer, printers, phones and other office equipment up to 80% of the time
- Must be able to hear; understand and distinguish sounds up to 100% of the time
- Must be able to see; both near and far visual acuity required up to 100% of the time
- Must be able to speak; verbally communicate with stakeholders up to 100% of the time
