Mail and Print Manager
Coe College seeks qualified candidates for the position of Mail and Print Manager. This position oversees the daily operations of the Kohawk Mailroom & Print Center of the college, providing excellent service to all customers (students, faculty and staff). Primary responsibilities include distribution of USPS Mail and private couriers, mail pickup and delivery, preparation of outgoing mail, advising campus partners on postal regulations and specifications, staying up to date on postal regulations and serving as liaison between campus and all delivery carriers. This position also executes the production of professional grade print-related materials produced within the college and supports printing for faculty, staff, students and departmental needs across the entire campus on a daily basis. This includes operation of a professional grade digital printer, a large format printer, pre-press file preparation, finishing tasks (trimming, cutting, lamination, binding, mounting, etc.), paper selection and sourcing, etc.
Essential Job Responsibilities
  • Print Center
    • Manage the Print Center, overseeing student staff, print scheduling, printing and finishing of professional grade print orders, taking orders and executing all machine operation.
    • Coordinate and process in-house printing requests, including digital printing, inserting, folding, book binding, sealing, cutting, mounting, etc.
    • Create in-house project estimates and write and seek quotes from outside print vendors when needed, providing guidance and assistance in selection and order of paper types, staying up to date on the newest paper materials and technology.
    • Collaborate with campus partners on strategies to keep their professional print jobs in house as a cost saving and time saving measure.
    • Complete pre-press work when projects are not submitted in a print ready manner.
    • Manage department billing for the print center.
    • Monitors and maintains brand standards for the work produced by the print and mail center.
    • Provide support to marketing and communications staff in merging and preparing files for admission and advancement efforts as needed.
  • Mailroom
    • Receive incoming Mail and distribute in an efficient and timely manner, maintaining current USPS regulations.
    • Process outgoing mail, including bulk and presort mailing for campus departments.
    • Operate the Smart Lockers (hardware, software, operations) and all related processing for student mail.
    • Update mailbox listings in a timely manner to ensure efficient processing of mail.
    • Advise marketing and communications staff (admission and advancement) on mailing regulations and pricing for large scale mailings as needed.
    • Manage department billing for the mailroom.
    • Manage the college’s Permit 26 account.
Qualifications:
  • Bachelor’s degree in communication, marketing, graphic arts or a related field.
  • 2-3 years experience in designing print materials or print production.
  • Strong communication and organizational skills.
  • Understanding of US Postal Service regulations.
  • Proficiency with basic office software including Microsoft Word and Microsoft Excel.
  • Proficiency with graphic design software including Adobe Indesign, Illustrator and Photoshop.
  • Experience effectively leading or supervising part time and student staff.
  • Must be currently authorized to work in the United States as visa sponsorship is not available for this position. Applicants must be authorized to work for ANY employer in the United States as we are unable to sponsor or take over sponsorship of an employment Visa at this time.
  • Successful completion of a background check in accordance with Coe College policy.
Knowledge, Skills and Competencies:
Position Specific:
  • Demonstrated ability to collaborate with people from a wide variety of offices, and maintain a positive atmosphere while working under time constraints and deadlines.
  • Knowledge of Adobe Creative Cloud (Photoshop, InDesign, Illustrator).
  • Knowledge of USPS mailing regulations.
  • The ability to work independently.
  • Capacity to organize, manage and prioritize multiple responsibilities, deadlines, tasks and projects while dealing with interruptions and an uneven workload.
  • Demonstrated desire for continuous improvement, including the ability to accept and implement constructive feedback.
  • The ability to set-up, operate, clean and maintain a Titan 200 bulk paper cutter, Canon Image Pro-Graf 4000s large format printer, Canon ImagePress C810, etc.

Working Conditions and Physical Requirements:
  • Must be able to sit or stand for long periods of time (multiple hours)
  • Frequent lift up to 35 lbs., occasional lift up to 50+ lbs.
