Job description

Summary: Responsible for maintaining Collateral Files and Promissory notes on commercial, small business, consumer, and mortgage loans. Assist with creating collateral files, document scanning, filing, recording, and releasing paid out notes and collateral. Work with the Director of Loan Operations to prepare and coordinate the relocation of original loan files held offsite to the Loan Vault at the Ruston Operations Center.
Duties and Responsibilities include the following.
  • Organize and maintain loan documents and promissory notes.
  • File new promissory notes.
  • Assist with releasing paid promissory notes and collateral.
  • Track and maintain files associated with active and inactive loans.
  • Scan and index files in AccuSystems as needed.
  • Organize and file collateral documents for all loans.
  • Archive inactive documents, establish destroy dates, and coordinate shredding as required.
  • Fulfill document or file requests of documents stored in the Loan Vault.
  • Assist teammates and customers with questions, concerns, and issues while providing excellent communication and customer service.
  • Assist other areas of Loan Operations as needed.
  • Assist the Director of Loan Operations with special projects as needed.

Education and/or Experience
High school diploma or general education degree (GED); banking or other lending related experience preferred.
Computer Skills
To perform this job successfully, an individual should have knowledge of the Internet, Outlook, Microsoft Word and Excel. Ability to use basic office machines. Ability to learn bank-specific software such as IBS, nCino, AccuSystems, etc.

Physical Demands
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; sit and use hands to finger, handle, or feel. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.
