Job description

Position Summary: The Licensing Specialist is responsible for all aspects of the initial licensing, DEA and state controlled and dangerous substance certificate process for employed OBHG clinicians. The Licensing Specialist will intake and verify information, research application details necessary for a particular state, submit online and/or paper applications and fees and assure processes are in accordance with state medical board and/or federal or state processes. The Licensing Specialist will provide consistent, accurate, and timely licensing support, enhancing the organization’s ability to provide professional services by ensuring clinicians are timely licensed and hold the correct state medical license, DEA and CDS/CRS to practice in the state where the hospital program is located where they are intended to work.

The Licensing Specialist is responsible for knowing all aspects of the initial state medical licensing process, including but not limited to the Interstate Medical Licensure Compact (IMLC) and is responsible for selecting the quickest process for obtaining said medical license, DEA, and/or state Controlled and Dangerous Substance Registration for the provider’s specific circumstance.

Privileging and Reappointments:

  • Responsible for the processing and preparation of the applications for licensure, DEA and/or state Controlled, and Dangerous Substance Registration needed to apply for privileges in Hospitalist in states where the provider has been recruited to perform services on behalf of Ob Hospitalist. Licensing Specialist will:
    • Examine, research and enter data and information gathered and all required documentation from clinicians to support the licensure, DEA and/or state CRS application process.
    • Completes clinician licensure, DEA and/or state CRS applications; monitors application progress and follows up as needed.
    • Assists when needed in obtaining verifications for medical school, residency, fellowship, ECFMG, work history, peer references, etc. to complete applications at the board.
    • Maintains consistent communication with clinicians during the licensure, DEA and/or State CRS application process as the application progresses through various phases of approval
    • Tracks critical dates of the licensure, DEA and/or State CRS application including file completion status, board analysis review and State Board meetings to meet critical onboarding and credentialing timelines.
  • Establishes and maintains professional relationships with clinicians, Medical Staff Office personnel, OBHG support team, and other affiliates.
  • Manages multiple clinician licensing requirements simultaneously.
  • Adheres to the standards of state board licensing requirements and timelines.
  • Maintains and updates internal databases (EchoOneApp and CRM) for OBHG clinicians and candidates regarding the licensure, DEA and/or State CRS application process.
  • Escalates non-responsiveness clinicians to internal stakeholders for resolution.

Clinician Record Management

  • Responsible for the maintenance and accuracy of electronic clinician employee credentialing files:
  • Collects and processes significant amounts of documents required for verification
  • Maintains and updates databases for both practitioners and facilities.
  • Compiles and maintains current and accurate data for clinicians, including current state licenses, DEA certificates, State CRS certificates, malpractice coverage, and any other required credentialing documents.
  • Tracks medical licensure, DEA certification and State CRS certifications for all clinicians to ensure timely renewals.
  • Enrolls new clinicians in National Practitioner Database – Continuous Query
  • Maintain and update reports as requested.
  • Maintains data for clinicians in Sharepoint and in EchoOneApp.

Clinician Onboarding

  • Responsible for communicating when a state license, DEA and/or State CRS is obtained for a provider to all stakeholdes across the organization and to the clinician.

Operational Support

  • Participates on internal Team Calls to provide updates on candidates in the credentialing
  • Updates Team Spreadsheet on Candidates regarding current status of pending licensure, DEA and/or State CRS certificates.
  • Participates on Program Implementation Calls to provide updates on candidates in the licensure process, as needed.

Performs other duties as assigned.

Licensing Specialist Essential Skills/Credentials/Experience/Education

  • A minimum of a High School Diploma is required.
  • Ability to organize and prioritize work and manage multiple priorities.
  • Effective time management and ability to meet regular time sensitive deadlines.
  • Ability to produce work in high quantity and quality.
  • Excellent written and verbal communication skills, including letters, memos, and emails.
  • Excellent attention to detail.
  • Works with initiative, energy, and effectiveness in a fast-paced environment.
  • Ability to work independently with minimal supervision.
  • Ability to establish and maintain effective working relationships with clinicians, management, medical staff office personnel, and other contacts outside of the organization.
  • Knowledge of licensure process and requirement including the Interstate Medical Licensure Compact (IMLC) requirements and DEA and State CDS/CRS requirements.
  • Ability to uphold the principles of compliance as outlined by the company.

Preferred Skills/Credentials/Experience/Education

  • One year of licensing experience, preferred.
  • Strong computer skills, proficient in Word, Excel & Access.
  • Preferred understanding of medical terminology.

Preference will be given to candidates who have worked previously in licensure.

Compensation: $25-$30 per hour (Full-time, Hourly, Nonexempt position)
