Description:

Reporting to the Acquisitions Librarian, the Library Operations Associate performs acquisitions and cataloging duties to provide access to information for various communities. The LOA supervises Acquisitions unit staff, interprets and applies policies and procedures, and coordinate priorities and workflows within the department.
Duties & Responsibilities:

  • Perform acquisition functions:
  • Interpret and apply policies and procedures and coordinate workflows within the acquisitions unit.
  • Coordinate and manage print and electronic order processes and receipt of all shelf-ready and unprocessed materials.
  • Process and approve invoices in the Library Management System (LMS)
  • Resolve shipping and billing issues as needed.
  • Compile statistical and narrative reports as needed.
  • Supervise the Acquisitions unit staff:
  • Hires, trains, supervises, evaluates, and mentors Library Specialists and Senior Library Specialists.
  • Recommend and communicate changes in unit and departmental policies and procedures to staff.
  • Coordinate department procedures and work assignments with other Library departments
  • Advise staff regarding workstation and networking problems and work with Library Systems as needed.
  • Perform cataloging of diverse resources:
  • Make enhancements and corrections to bibliographic data and MARC Format for Holdings Data (MFHD) to reflect description, holdings, notes, appropriate electronic links, and other information in the Library Management System (LMS).
  • Classify all types of materials using appropriate classification schemes (i.e. Library of Congress Classification Schedules, National Library of Medicine Classification Schedules, Illinois document classification schedule, etc.)
  • Delete appropriate records and holdings from databases for missing and withdrawn materials.
  • Perform other related duties and participate in special projects as assigned


Minimum Qualifications Required:


1. High school diploma or equivalent.

2. Any combination totaling four (4) years (48 months) from the following categories:

A. work experience in a library or equivalent setting.

B. college course work in any field as measured by the following conversion table:

  • 30 semester hours equals one (1) year (12 months)
  • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)

3. A total of two (2) years (24 months) work experience in a library or equivalent setting performing progressively more responsible work consistent with the next lower level of this series.
