Job Description
Legal Secretary - White Collar & Commercial Enforcement
The White Collar & Commercial Enforcement Division of the Utah Attorney General's Office has an immediate opening in Salt Lake City for a Legal Secretary to assist attorneys in litigation and enforcement matters related to consumer protection, professional licensing, real estate licensing, and financial and securities fraud.
This Division is committed to serving the public and works collaboratively with its client, the Utah Department of Commerce, to protect the public from deceptive, unprofessional, and unlicensed activities. Our team is on the front line of our State's efforts in the opioid litigation; investigations on social media companies; investigations and actions against pyramid and Ponzi schemes; enforcement actions against those not following professional standards; and many other areas where Utah's public and economy is vulnerable.
The Division seeks a dynamic, organized, and tech-savvy Legal Secretary with a passion for providing foundational support to a team of attorneys and paralegals. We seek a colleague who not only has exceptional administrative skills but also is familiar with modern technology systems. As a key member of our team, the successful applicant will play a vital role in maintaining our commitment to deliver superb and ethical legal services to the public to help make Utah as great as possible.

Example of Duties
A Legal Secretary will perform various duties that will enable the Division to accomplish its larger goals, including the following:
  • Draft, format, and proofread legal documents, correspondence, and reports with a keen eye for detail and accuracy.
  • Provide administrative support to attorneys and legal professionals, including managing schedules, appointments, and travel arrangements.
  • Maintain and organize electronic and physical files to ensure efficient access and retrieval.
  • Assist with legal research, investigations, document retrieval, and information management.
  • Receive calls and greet visitors, relay messages, and respond to requests for information.
  • Manage procurement of office supplies and inventories and other support needs.
  • Communicate with clients, opposing counsel, and other stakeholders.
  • Use modern technology systems, including legal software, document management systems, and communication tools, to streamline and enhance workflow.
  • Stay up-to-date on emerging legal technology trends.
  • Show a willingness to help where needed.

  • Proficiency in modern technology:
    1. advanced knowledge of Microsoft 365 is required, and
    2. some knowledge of document management or evidence-management software is preferred.
  • Strong skills in reliability, organization, creativity, collaboration, teamwork, and written and oral communication.
  • Discretion and the ability to handle confidential information privately, ethically, professionally, and tactfully.
  • Basic understanding of legal terminology and the legal system is a plus.
  • High school diploma or equivalent; a bachelor's degree or paralegal certification is a plus.
  • Experience as a Legal Secretary or administrative assistant in a legal environment is a plus.
