This position will remain open until filled
Provides legal secretarial and office administrative support requiring considerable knowledge of legal procedures, forms, and documents.
Also provides Legal Secretary support to Board attorneys.
Prepares a variety of complex legal correspondence, using technical knowledge and expertise.
Completes legal notices and forms from standard templates and paragraphs.
Exercises discretion in the preparation and processing of legal notices and other legal forms in accordance with established legal requirements.
Answers a variety of inquiries concerning the progress of investigations or legal actions
Completes data entry in ORBS/electronic databases and maintains follow-up records relating to department legal matters
Creates simple forms and surveys
Electronically files document submissions and Board documents
Receives and screens a variety of correspondence and telephone calls
Provides guidance and technical direction to other board employees as requested
Provides backup support in taking and preparing Board meetings and committee minutes
Provides staff support for committees as assigned
Knowledge:
Knowledgeable about the Arizona Nurse Practice Act, general administrative law, and policies and procedures for case management
Skills:
Experience with Microsoft Windows, Google Suite, Word, Excel, computer-based case management systems and portals, as well as office equipment
English grammar and usage, in addition to legal and medical terminology sufficient to effectively prepare orders, decisions, and correspondence
Organizational skills
Typing, word processing, and proofreading
Oral and written communication
Time management
Excellent customer service
Abilities:
Utilizes legal forms and formats sufficient to prepare investigative reports and consent agreements
Makes decisions and composes general correspondence
Effectively manage projects and meet deadlines
Manage a heavy workload with a high level of accuracy and production
Review and interpret ALJ reports; understand laws, rules, policies, and procedures
Recognize and engage those with different backgrounds, and perspectives to bridge gaps in understanding of differing viewpoints, as well as ensure persons with diverse perspectives are given the opportunity to collaborate and provide input
High school or equivalent required
At least 5 years of Legal Secretary experience required
At least 1 year of Google Suite experience required
