Basic Responsibilities:

Provide day-to-day expertise, education, and administration on all leave of absence cases, workers’ compensation claims, STD/LTD, and ADA accommodations for the organization.  Effectively coordinates and ensures timely execution of all programs in compliance with company policies and local, state, and federal regulations.

The position works with highly sensitive organizational information and data, as well as, personnel issues that require a high level of discretion, tact, understanding of personnel-related laws and regulation involving such information and sound personal judgment.

This is a position of flexibility, requiring a person with a range of varying abilities in supporting Protocall’s growth.

Typical Duties:

  • Administers leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, OFLA, ADA, USERRA, ect.). Ensures that the workers’ compensation program is managed in accordance with applicable OSHA and workers’ compensation laws.
  • Advises managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits and/or modified work schedules. Ensuring that employees are aware of their rights and responsibilities.
  • Provide case management and facilitates administrative aspects of leaves, paid time off programs, workers compensation, and short-term and long-term disability benefits, modified work schedules, and/or ADA accommodations by
  • Gathering and completing all required paperwork, determining eligibility or denial with consultation as needed, tracking and updating status, requesting medical certifications as needed, accounting for intermittent and reduced schedule leave use.
  • Serves as a liaison between treatment providers, ergonomic consultants, vendors, staff, management, and other HR staff to protect the rights of employees and reduce potential organizational exposure. Communicates with providers of medical treatment regarding qualifying reasons and anticipated length of leave/disability period, and/or employee medical restrictions.  Responds to employee and management questions and concerns regarding leave, medical restrictions, disability pay and/ salary continuation in a timely manner.
  • Communicate responsibility of benefit plan premiums that will not be covered by payroll deductions and how to facilitate payments to avoid loss of coverage due to non-payment when applicable.
  • Assure all personnel files are maintained according to company standards and organize all medical information ensuring that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed.
  • Ensures that all reportable workers’ compensation claims are submitted to the company’s vendor within 48 business hours from the date of the incident.
  • Oversees the return-to-work process for employees returning from O/FMLA, workers compensation, or other leave(s), while facilitating reasonable communication with employees, managers, and Admin.
  • Generate analytics and reports as needed from management
  • Manage Licenses Certifications for current employees
  • Manage Background Checks for current employees
  • Fulfill duties as a Wellness Committee Leader
  • Fulfill duties as a Health and Safety Committee Member
  • Assist with Company event planning
  • Providing backup for People Services Assistants
  • No need to view PHI or access Proteus as part of normal job duties. May view PII associated with employee or contractor HR records.
  • Other duties as assigned.

 

Miscellaneous:

Actions and behaviors of the person filling this position will be consistent with the positive goals, objectives and atmosphere of the Company.  While maintaining a high degree of professionalism in carrying out the duties of this position, which includes the confidentiality of all personnel and company information. This person will work in unison with the Management Staff in the care and guidance of Protocall staff.

Qualifications:

Knowledge Skills and Abilities:

  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, OFLA, ADA, USERRA and other applicable laws.
  • Experience accessing various Human resource-related websites (i.e., E-verify)
  • Prior knowledge of principles and practices of Human Resources 
  • Fast, accurate typing skills
  • Advanced Microsoft Office skills.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills
  • Excellent analytical and problem-solving skills.
  • Ability to work under pressure and in negative situations with a friendly demeanor
  • Superior organizational skills, ability to prioritize, multiple tasks, attention to detail and strong follow-up skills

  • Professional appearance, dress, and attitude

Requirements for the Leave of Absence Specialist:

  • 3+ years of experience in FMLA/leave administration functions
  • Bachelor’s Degree is preferred but may be substituted with 4 years of experience in HR disciplines.
  • 3+ years of experience in Human Resources; SHRM Certification a plus.
  • Behavioral health background/experience desired.
